Use ContractGroup__c field to combine Renewal Contracts in Salesforce CPQ

Salesforce provides a list of special fields to expand functionality within CPQ. Special fields impact standard functionality and aren’t shipped with the package. To use or enable this feature, a custom text field with the API Name ContractGroup__c must be created on the Contract object. When active, the field allows users to combine multiple active contracts into a single renewal opportunity. During the renewal, multiple contracts can be co-terminated together and combined onto the same renewal opportunity. By using the Contract Group field, you can renew multiple contracts that have the same value for ContractGroup. To create this field, follow the steps outlined here:

  7. Label: ContractGroup
  8. Length: 30
  9. API Name: ContractGroup__c
  10. Save
  11. Add the new field to the contract page layout


NOTE: When renewing multiple contracts and a Master Contract is defined, the contract selected will appear in the Renewed Contract field for the renewal opportunity
 

  1. Automatic co-termination using a Master Contract and ContractGroup
    1. This is possible by checking the Master Contract checkbox on one Contract and a group of Contracts on an account share the same key for the ContractGroup field. If the Master Contract is activated in this scenario, renewing any one of the contracts in the group will implicitly cause all of the active contracts in the group renew and co-terminate them to the Master Contract. This is the only form of co-termination where contracts are implicitly renewed.
      1. Example: Contracts A, B, C have the same value in the ContractGroup field and Contract A has Master Contract checkbox marked true. Renewing Contract B will co-terminate and renew all three Contracts. They’ll co-terminate to Master Contract A and be combined onto a single renewal quote and opportunity.
  2. Automatic masterless co-termination using ContractGroup
    1. This is only possible when the account has Contract Co-Termination set to Always and Co-termination Event set to Renewal. There’s no Master Contract selected on the account but there are active contracts that belong to the same ContractGroup. Renewals will co-terminate contracts within the same ContractGroup and the Contract with the Longest Renewal Term will effectively serve as the Master. 
      1. NOTE: Contracts on the same account must also have the same Renewal Pricebook, Currency Code (if multi-currency is enabled), Renewal Start Date, and ContractGroup key.

NOTE: Unless the Combine Co-Termed Contracts checkbox is selected, each contract is placed in its own Quote Line Group. Renewing multiple contracts without a designated Master Contract is the only co-termination event that will create separate Quote Line Groups for each contract item.
