How to use Workflows in Marketing Cloud Content Builder Approvals

When you set up Content Builder Approvals, you create one or more workflows. These Workflows and Review Teams created under Setup serve as templates for how the approval process will be used.

Once a user creates an email message and clicks Start Approval Process they assign it to one of the teams. From that point on the team is directly attached to the approval object. The person who starts the approval process on a given piece of content, regardless of their actual role on the review team selected, essentially becomes a submitter by default. Users are not prevented from viewing or using a particular workflow based on whether or not they are assigned to the team. This means that a submitter can view all teams even though they are only assigned to one team as a submitter.

Example: Workflow has a Submitter, Reviewer, Approver
  1. User creates email and starts approval process.
  2. Reviewer receives an email notification that an email has been submitted.
  3. Reviewer returns email for revision.
  4. User and Submitter receives an email notification that the email is pending resubmission.
  5. Either the User or Submitter can review the email and resubmit it.
  6. Reviewer receives an email notification that the email has been submitted.
  7. Reviewer completes review.
  8. Approver receives an email notification that an email has been reviewed.
  9. Approver approves email.
  10. User and Submitter receive an email notification that the email has been approved.
 
NOTE: If a user is the owner of the email but the approval process is started by another user and the owner doesn't have a role on the review team selected, the user that started the approval process becomes a submitter and the owner is essentially out of the loop.
