Document Access in Quip for Salesforce

Access to Quip documents embedded in Salesforce records is determined by multiple layers of control that work together. Understanding these layers helps administrators configure appropriate access and troubleshoot situations where users unexpectedly cannot see an embedded document. This article explains each access factor and how they interact.

Lösung

Three Factors That Determine Document Access

A user must meet all three of the following criteria to view an embedded Quip document on a Salesforce record:

  1. Access to the Salesforce record: The user must have view access to the Salesforce record the document is embedded on (for example, the Opportunity). If they cannot see the record, they cannot see the embedded document.
  2. Assigned Quip permission set: The user must be assigned the Quip User permission set (or equivalent) in Salesforce. Without it, the Quip Document Component does not render for them.
  3. Completed Salesforce-Quip connection: The user must have completed the one-time OAuth connection between their Salesforce account and their Quip account. Users who have not done this see banner at the top of their Salesforce Org with a prompt to connect

Example: A new account executive has Salesforce access to an Opportunity and has the Quip User permission set, but has not yet completed the Salesforce-Quip connection. She sees a prompt to connect her accounts the first time she opens the Opportunity — after connecting, the embedded Quip document is immediately visible.

Synced Sharing

Synced Sharing is an admin-configured setting that determines what level of access users automatically receive to the embedded Quip document when they access the linked Salesforce record. Administrators set this at the org level in the Quip Admin Console. Options include:

  • No Access: Users see a Request Access button. They must request access from the document owner.
  • View Access: Users can read the document but not edit or comment.
  • Comment Access (default): Users can view and add comments.
  • Edit Access: Users can view, comment, and edit the document.
  • Full Access: Users can view, edit, and share the document.
  • Salesforce Record Access: Users receive the same permission level as their access to the Salesforce record (for example, read-only Salesforce access = read-only Quip access).

Direct Share and Link Sharing Take Precedence

If a user is directly shared on the document (not through Synced Sharing) or accesses it via a shareable link, those permission levels take precedence over Synced Sharing. For example, if Synced Sharing grants Comment Access but a user was directly shared with Full Access, they retain Full Access.

Private Folders and Restricted Folders

The above rules apply regardless of whether the document is in a private, shared, or restricted folder. A document in a private folder is still accessible via the Salesforce record if the user meets all three access criteria and Synced Sharing is configured appropriately.
