Access to Quip documents embedded in Salesforce records is determined by multiple layers of control that work together. Understanding these layers helps administrators configure appropriate access and troubleshoot situations where users unexpectedly cannot see an embedded document. This article explains each access factor and how they interact.
A user must meet all three of the following criteria to view an embedded Quip document on a Salesforce record:
Example: A new account executive has Salesforce access to an Opportunity and has the Quip User permission set, but has not yet completed the Salesforce-Quip connection. She sees a prompt to connect her accounts the first time she opens the Opportunity — after connecting, the embedded Quip document is immediately visible.
Synced Sharing is an admin-configured setting that determines what level of access users automatically receive to the embedded Quip document when they access the linked Salesforce record. Administrators set this at the org level in the Quip Admin Console. Options include:
If a user is directly shared on the document (not through Synced Sharing) or accesses it via a shareable link, those permission levels take precedence over Synced Sharing. For example, if Synced Sharing grants Comment Access but a user was directly shared with Full Access, they retain Full Access.
The above rules apply regardless of whether the document is in a private, shared, or restricted folder. A document in a private folder is still accessible via the Salesforce record if the user meets all three access criteria and Synced Sharing is configured appropriately.
