Create and Apply Visit Windows to Individual Records with Maps Advanced

In the event your customers or prospects can only be seen on certain days or times throughout the week, Maps Advanced Routing allows for the ability to create Visit Windows. A Visit Window indicates the ideal visit days and times for a specific customer. Once Visit Windows are set, Maps Advanced will ensure all future visits begin service within these windows during optimization.  However, this does not account for the duration defined for the visit. If no Visit Windows are set for a routable record, Maps Advanced will ensure visits are scheduled based on the default days and times configured in the Visit Plan.

This article will walk you through the steps for creating and relating Visit Windows to Routable Object records.

Step-by-Step Instructions

  1. Search for and select a Routable Object record.
  2. Click the Set Route Visit Window button.
  3. In the Lookup Field dropdown, select a Maps Advanced Route Visit Windows lookup field from the available options.
  4. If you would like to assign an existing Shared Visit Window, in the Search Shared Visit Windows dropdown, select a Shared Visit Window from the available options.
    1. Skip to the next section to learn how to create a Shared Visit Window.
  5. From this page, you can choose to create a Default Visit Window or a Temporary Visit Window
    1. Default Visit Window - The days and times set will repeat indefinitely and until updated manually.
    2. Temporary Visit Window - The days and times set will repeat within the set Start Date and End Date of the Visit Window.
      1. To create a Temporary Visit Window, navigate to the bottom of the page and select the Add New Temporary Visit Window button.
  6. Enter a descriptive name for the Visit Window in the Name Visit Window text box.
    1. i.e. [Record Name] - Default Visit Window
  7. Specify which week(s) this Visit Window should apply during the month by checking the box next to 1st Week, 2nd Week, 3rd Week, and/or 4th Week.
  8. Specify the From and To times for each day, or select X to exclude a specific day from the Visit Window.
    1. Optionally, specify a second set of From and To times under the Visit Window 2 section if there are two windows in a single day where a visit can occur.
      1. i.e. The customer prefers visits from 9 AM to 11 AM, then again from 1 PM to 4 PM.
  9. If Visit Window times are the same for each day of the week, select Apply to all days.
  10. Click Save

 

Create a Shared Visit Window

  1. From the App Launcher, navigate to the Maps Advanced Shared Visit Windows tab.
  2. Enter a descriptive name for the Shared Visit Window in the Name Visit Window text box.
    1. i.e. Monday - Friday | 9 AM - 5 PM
  3. Specify which week(s) this Shared Visit Window should apply during the month by checking the box next to 1st Week, 2nd Week, 3rd Week, and/or 4th Week.
  4. Specify the From and To times for each day, or select X to exclude a specific day from the Visit Window.
    1. Optionally, specify a second set of From and To times under the Visit Window 2 section if there are two windows in a single day where a visit can occur.
      1. i.e. The customer prefers visits from 9 AM to 11 AM, then again from 1 PM to 4 PM.
  5. If Visit Window times are the same for each day of the week, select Apply to all days.
  6. Click Save

 

Edit an Existing Shared Visit Window

  1. From the App Launcher, navigate to the Maps Advanced Shared Visit Windows tab.
  2. In the Search Shared Visit Windows field, select an existing Shared Visit Window from the available options.
  3. Make any necessary updates, then click Save.
