A Salesforce user with full access to a Customer or Partner account — either through sharing or account ownership — receives the following error when trying to change ownership to a user with a different role:

"You don't have permission to take that action on this record or related records."

Why This Error Occurs

This error occurs when an account has external users (Customer or Partner Experience Cloud users) who have assigned roles in the system. When ownership of an account is transferred to a new user with a different role, Salesforce must update the role hierarchy for all external users associated with that account. This role modification requires the initiating user to have the Manage Roles system permission enabled at the profile or permission set level. Without this permission, the ownership transfer is blocked.

How to Resolve the Error

This error indicates that the running user does not have the Manage Roles permission at the profile or permission set level. Because there are active external users connected to the account who have roles, it is necessary to modify the external role to account for the change of the parent role. The user initiating the change in ownership must have the ability to manage roles.
You can resolve this error using one of the following approaches:

  • Assign the Manage Roles permission to the user at the profile level.
  • Grant access using a Permission Set.
  • Have the ownership change performed by a user who already has the Manage Roles permission enabled.

Steps to Find 'Manage Roles' in a Profile

  1. Select Setup.
  2. Enter Profiles in the Quick Find box, or find Profiles under Administration | Users.
  3. Select the desired Profile.
  4. Select System Permissions.
  5. Scroll down to the Users drop-down to find Manage Roles.

Note: Same-Role Ownership Transfers

If the current owner of the account and the new owner share the same role, the error will not occur and the change in ownership will be successful. The Manage Roles permission is only required when the transfer moves ownership to a user with a different role.
