Reports and Dashboards Use Case Story

Cloud Kicks makes comfortable sneakers, designed and personalized for its customers. The company uses Salesforce to manage the sales process and centralize customer data. Trusted suppliers and vendors are given access to certain reports so they can see the latest numbers that may affect their related businesses.

Recently, Linda Rosenberg, Cloud Kicks’ admin, heard that several vendors received an “insufficient privileges” error message when attempting to access data. These trusted partners were getting error messages when viewing reports with certain standard report types, such as Accounts with Assets, or Products, even though they had access to the folder and could view other reports in it.


Linda wondered what was going on, so she did some investigating. She searched for answers, watched videos, read guidance materials, and explored the Trailblazer Community for tips. She discovered that external users couldn’t get access to a report unless the org-wide defaults (OWD) of each object included in the report type were set to Private.

However, Linda also found out that “Products” was a standard object included in many standard report types. Since Products did not have OWD settings, it was impossible to set these to Private. Obviously, Linda couldn’t share everything because so much of the company’s data is sensitive. How was Linda going to solve this?

She got a tip from another administrator in the Trailblazer Community. Admins can create a custom report type using all of the relevant fields used in the standard report type and give trusted vendors access to the custom report.

Thanks to Linda’s sleuthing, Cloud Kicks continues to build strong relationships by sharing information with trusted vendors while still protecting the company’s sensitive data.
