Knowledge Article: Opportunity Stages that Trigger Payment Automation in NPSP

This article identifies when a Payment Record related to an Opportunity in NPSP will change from "Unpaid" to "Paid" or "Written Off" depending on the Stage value and state of the Picklist Value on the Opportunity object.

This article goes over the Automatic Payment Creation feature in Nonprofit Success Pack.
 

Verify Automatic Payment Creation is Enabled in NPSP Settings

Get to NPSP Settings:

  1. Go to the App Launcher
  2. Type in “NPSP Settings”
  3. Select NPSP Settings from the Search
  4. Navigate to the Donations tab in the left side panel
  5. Select Payments under the Donations tab
  6. Ensure that “Automatic Payment Creation” is enabled

Note: In order for a Payment record to be generated, and then have the Payment Status on the Payment Record change depending on the Stage field of the Opportunity object, this feature will need to be enabled.
 

Opportunity Stage Values

Opportunity Stage Values have 3 states they can be in which are called Types in the Stage field settings:
  1. Open: Donation Opportunity is still open and actively being worked on.
  2. Closed/Won: Donation Opportunity has been successfully closed and is not being worked on.
  3. Closed/Lost: Donation Opportunity has been lost and is not being worked on.

When an Opportunity is in an Open state, the Payment Record which is related to the Opportunity, the Payment Status is “Unpaid”.

When an Opportunity is in a Closed/Won state, the Payment Record related to the Opportunity, the Payment Status is “Paid”.

When an Opportunity is in a Closed/Lost state, the Payment Record related to the Opportunity, the Payment Status is “Written Off”

The actual Value of the Stage does not matter, only the state of the Stage picklist value. The Stage value on Opportunity does not have to be the value of Posted in order for the automation to work as long as the Stage Value is in a Closed/Won state, Closed/Lost state.

For example, if there is a newly created Stage Value called “Donation Won”, and it’s type is set to Closed Won. When an Opportunity is created, and this Stage Value is selected, the automation for switching a Payment record from Unpaid to Paid will trigger.

This is also true if a Stage Value is created called “Donation Lost” and the type is set to Closed Lost. When the value is selected, it will change the Payment Record to unpaid.
