In Salesforce, adding or removing files from Knowledge Articles requires the article to be in Draft status. If users attempt to unshare or remove a file from a Knowledge Article that is not in Draft status, Salesforce returns one of the following errors:
To remove a file from a Knowledge Article, the user must also either own the file or have the file shared with them with Collaborator (Edit or Full Access) file permissions.
This application behavior is expected and works as designed. To unshare or remove a file from a Knowledge Article, set the article's publication status to Draft first.
When an article is not in Draft status, the Files Related List displays "No actions available" and does not show options to "Upload Files" or "Add Files."
To remove a file from a Knowledge Article:
Users with Collaborator file permissions (Edit or Full Access on the file) can delete files related to Knowledge Articles that are not in Draft status, without needing to set the article to Draft first.
