Salesforce CPQ and Advanced Approvals can be challenging when multiple approval chains with newly activated approval rules are in play. Initially, when a CPQ Quote is submitted for approval, the system generates approval records based on the active approval rules at that time.
However, if Approvers have not approved all approval records on a Quote and a new approval chain with multiple rules becomes active, the new approvals will trigger a reevaluation of all active approval rules for the related Quote. The evaluation results in the creation of new approval records.
Misaligned statuses for the newly created approval records may generate with an 'Assigned' instead of 'Requested’ status, especially if the same approvers are involved for multiple records on the same Quote. These misalignments can cause the approval records to be 'stuck', leading to an inconsistent behaviors on approvals.
We recommend resubmitting Quotes for approvals after implementing any new Approval chains with multiple approval rules to ensure accurate processing of all approval records. This action will resolve status misalignments in approval records.
Administrators and users must be aware of these complexities. Diligent management of approval processes, especially with shared approvers and multiple active chains, is crucial.
