Dashboard Filters and Groupings Disappear After Refresh Due to Field-Level Security

Description

In some cases, a report used in a dashboard may initially display correctly with specific filters or groupings (for example, on a custom date field). However, after refreshing the dashboard, the filtered or grouped data may no longer appear.

This behavior occurs when the dashboard running user does not have access to the field used in the report’s filters or groupings.

Résolution

Dashboard data is evaluated based on the running user’s permissions, not the dashboard creator’s. If the running user lacks access to fields used in filters or groupings, those configurations are ignored during refresh.


Step 1: Identify the Dashboard Running User

  1. Open the dashboard
  2. Click Edit
  3. Click the Settings (⚙️) icon
  4. Check the View Dashboard As field to identify the running user

Step 2: Verify Field-Level Access

  1. Go to Setup
  2. Search for Users
  3. Open the running user’s record
  4. Review assigned:
    • Profile
    • Permission Sets

Step 3: Grant Field-Level Security Access

Ensure the running user has at least Read access to the field used in the report filters or groupings:

Via Permission Set:

  1. Open the Permission Set
  2. Click Object Settings
  3. Select the relevant object
  4. Enable Read Access for the required field

Via Profile:

  1. Open the Profile
  2. Navigate to Object Settings
  3. Select the object
  4. Ensure Read Access is enabled for the field

Result

  • Filters and groupings will be applied correctly
  • Dashboard data will remain consistent after refresh
