Experience Cloud Users are Unable to See Names in Lookup Search

If Experience Cloud users are unable to find other users via lookup search within a site, or the lookup search is requiring more characters than expected to show results, check the Enhanced Personal Information Management (EPIM) settings in Setup and the "Show Nicknames" setting in Experience Workspaces for the site.

How to check EPIM:

  1. Go to Setup > search “User Management Settings” and confirm Enhanced Personal Information Management is enabled. If it is enabled, click the “this field set” link.
  2. In the field set, confirm the 'Name' field is added.

How to check "Show Nicknames" in Experience Workspaces:

  1. Go to Setup > Digital Experiences > All Sites and find the site in question.
  2. Click the "Workspaces" link for the site, then click the Administration tile, then Preferences.
  3. Confirm the setting “Show nicknames” is enabled.

The purpose of EPIM is to protect user data. When “Show Nicknames” is enabled, it means external users should not see the Name fields. Instant result search is optimized for searching against Name fields, but since external users do not have access to Name fields in this scenario, it will use the standard full search. Search will also not return results for fields with field visibility restrictions, which includes fields blocked by the Enhanced Personal Information Management permission, and the instant result search only searches on Name fields.

Resolution: This is working as designed. However, you can remove the Name field from EPIM and disable the “Show Nicknames” setting in Experience Workspaces to require fewer characters and populate more instant results for Experience Cloud users searching for other users via lookup search. Security risks and ramifications should be considered before making personal data available in your site.
