If your company is encountering issues with custom HTML or Visualforce email templates, please collaborate with your developers to review and validate the HTML and CSS code, ensuring it adheres to industry standards and meets user requirements. Salesforce Support cannot assist with debugging HTML and CSS, as these customizations fall outside their support scope. If content and images display correctly in other email clients or browsers, Salesforce has processed them properly, and the issue likely originates from Outlook. In such cases, adjustments may need to be made within Outlook to resolve the problem. 

Note: Although Outlook is a widely utilized email client, Salesforce cannot influence how Outlook handles and displays email content. This situation is analogous to the limitations experienced with fonts or colors in various browsers, such as Internet Explorer. Despite Salesforce having a substantial number of users who utilize Internet Explorer as their primary browser, these limitations remain outside Salesforce's control.

Suggested Workarounds:

  1. Forward the Email: Forward the email or copy another recipient to determine if the email displays correctly across different email clients.
  2. View in a Browser: Access the email through a web-based email service, such as Outlook Web Access (OWA), to check its appearance.
  3. Check Other Email Clients: Review the email in various email clients, such as Gmail, Yahoo Mail, Rediffmail, or Hotmail, to verify if the issue is specific to Outlook.
  4. Disable Email Relay: If you are using an email relay or an external email service, disable these services and send a test email directly from Salesforce to see if the issue persists.

One common setting to be aware of in Outlook is:

  • On the File tab, click Options > Trust Center.
  • Under Microsoft Outlook Trust Center, click Trust Center Settings.
  • Deselect Don't download pictures automatically in HTML e-mail messages or RSS items check box.
