How to Control Access from Tableau in Salesforce

Tableau products (Tableau Desktop, Prep Builder, Tableau Cloud and Tableau Server) leverage the 'Connected App' feature when establishing a connection to Salesforce.
Tableau access is restricted to Salesforce users assigned to specific permission sets or profiles when Salesforce is configured as described below.

Once a connection from a Tableau product to Salesforce has been established, apply the following settings in Salesforce:

 
1. Install Connected Applications in Salesforce
 Navigate to [Setup] > [Connected Apps OAuth Usage] and click the "Install" button for the applicable Tableau products.
  • Tableau Desktop: "Tableau Desktop"
  • Tableau Prep Builder: "TableauPrep"
  • Tableau Cloud: "Tableau Online for Salesforce"
  • Tableau Server: The name of the connected app created during the connection setup with Salesforce.
 
2. Create a Permission Set
  • Navigate to [Setup] > [Permission Sets] and create a new permission set.
  • Enter the desired "Label" and "API Name" for the Permission Set, then save.
  • Click Edit under [Assigned Connected Apps].
  • Select the names of the connected apps to be allowed and save.
  • Click [Manage Assignments] > [Add Assignment], then select the users to assign this permission set.  
 
3. Manage Connected Apps
In Salesforce, go to [Setup] > [Manage Connected Apps], and click on the target connected app name.
 
 
4. Edit Policies
Click [Edit Policies], change [Permitted Users] to "Admin approved users are pre-authorized," and save.
 
 
5. Assign Profiles or Permission Sets
On the connected app detail page, ensure that the profiles or permission sets allowed to access the app are correctly assigned.
