Approval Process Email Notification

The user is experiencing issues with the Content Builder notification system. Specifically, resubmission notifications are not being sent to the submitter when a reviewer makes changes and updates comments, and completion time notifications are not being sent to any of the team member when an approval deadline is reached.

Please find the below various scenarios that we can come across and how this can be explained. 

  • Notification to Submitter After Reviewer Feedback:
    Currently, the submitter is notified only when the approver clicks the "Submit Comments" button. As per the system design, the reviewer does not have the option to click this button; therefore, submitters are not notified immediately after the reviewer's feedback.

  • Notification When Approval Deadline is Reached:
    While the expected completion date is included in the notification email, this date is not stored in the system. Due to this limitation, the system does not support automatic notification emails when the approval deadline is reached.

  • Notification to Approver Only After Round 2:
    Under the existing functionality, approvers receive notifications for both Round 1 and Round 2. There is currently no option to restrict notifications exclusively to Round 2.

Here is the additional information about each role and what it does.

 

Submitter
  • Create Content: Can create and edit content such as emails, templates, images, etc.
  • Submit for Approval: Can submit content for approval once it is ready.
  • View Status: Can view the status of their submitted content (e.g., submitted, reviewed, approved).
  • Revise Content: Can make revisions to content if it is sent back by the reviewer or approver with feedback.
Reviewer
  • Review Content: Can review content that has been submitted for approval.
  • Provide Feedback: Can provide feedback and request changes if the content does not meet the required standards.
  • Approve: Depending on the setup (e.g. user assigned approver role), reviewers may have the ability to approve content, or they may only provide feedback and pass it along to the approver.
Approver
  • Review Content: Can review content that has been submitted for approval.
  • Approve Content: Has the authority to approve content, making it ready for use.
  • Reject Content: Can reject content and send it back to the submitter with feedback for necessary changes.
  • View All Submissions: Can view all content submissions and their statuses within the approval workflow.
  • Override Decisions: In some setups, approvers may have the ability to override decisions made by reviewers.
Additional Notes
  • Notifications: All roles typically receive notifications relevant to their actions (e.g., submitters get notified when their content is approved or rejected, reviewers get notified when content is ready for review).
  • Expected Completion Date: This is a field used when initiating the approval process for content, typically emails. It represents the date by which the content creator anticipates the approval process to be completed. This date is included in the approval request details and can be viewed on the approvals dashboard. Notifications are not sent based on this date.
