When building workflows or auditing activity data, distinguishing system-generated tasks from user-created tasks helps optimize automation logic. There are a few different methods you can use to determine which tasks are system-generated:

 

Method 1: Check the Subject Notation

Look for specific notations in the subject line of the task. Automated tasks might include a prefix or suffix like "(Automated)" to distinguish them from user-created tasks.


Method 2: Check the Created By field

Check the "Created By" field on the task record. System-generated tasks will typically have a user or system account listed that is responsible for automated processes.


Method 3: Check the Task Actions

Tasks created by workflow rules, approval processes, or entitlement processes are system-generated. Review the task actions associated with these processes to identify such tasks.


Method 4: Check Your Email Notifications

In Salesforce Classic, email notifications can be configured to alert users when a task is created or assigned. These notifications can help identify system-generated tasks.


Method 5: Check the Task Fields

Review the standard fields on task records. Fields like "Due Date," "Status," and "Priority" can provide clues about the origin of the task. System-generated tasks often have predefined values for these fields.


Method 6: Check the Activity Timeline

In Lightning Experience, use the activity timeline to view and edit tasks. System-generated tasks will appear here along with user-created tasks.

Utilize activities reports and list views to filter and identify system-generated tasks. You can create custom reports to display tasks based on specific criteria, such as the "Created By" field or subject notation.
