How to Switch an Existing User Account to a Different User

This article explains the methods for assigning a license from an existing user to a new user, including the respective procedures, considerations, and related help documentation.

There are two main ways to switch an existing user account to a different user (re-utilize the license).

  1. Overwrite Username and Email Address
  2.  Deactivate the Existing User and Create a New User

  • 1. Overwrite Username and Email Address

Overwrite the existing user's information with the new user's information.

<Steps>

1.Click the gear icon in the upper right and select [Setup].
2.Enter "Users" in the [Quick Find] box and select [Users].
3.Click [Edit] next to the existing user you wish to replace.
4.Update the following fields with the new user's information and click [Save].
・Username
・Email

※ Please note that all records, setup history, and Activity history previously created by the existing user will be changed to reflect the new user's information.

  • 2. Deactivate the Existing User and Create a New User

Deactivate the existing user account to free up a license, then create a brand-new account.

<Steps>

1.Click the gear icon in the upper right and select [Setup].
2.Enter "Users" in the [Quick Find] box and select [Users].
3.Click [Edit] next to the existing user you wish to replace.
4.Deselect the [Active] checkbox (set to False) and click [Save].
5.Return to the User list screen and click [New User].
6.Enter the information for the new user and click [Save].

 ※ Activation is required when creating a new user.
※ If all licenses in your organization are in use, you must first deactivate the existing user to free up the license before creating a new one.
