The following are FAQs on the behavior, setup, and management of Subscriber Filters in Marketing Cloud Engagement.

 

Q1. What does a subscriber filter do?
A. A subscriber filter controls which subscribers from the full Email Studio subscriber list appear and are accessible at the business unit level. Specify attribute conditions to restrict child business unit users to viewing only the subscribers that match those conditions.

Q2. Does a subscriber filter apply to all contacts in Contact Builder?
A. No. A subscriber filter applies only to Email Studio subscribers.

It does not affect the All Contacts list in Contact Builder. Subscribers and contacts are managed as separate, distinct concepts.

Important: By design, subscriber filters shouldn't affect Contact Builder. However, a known issue currently causes email addresses and other contact details to disappear from the All Contacts view in Contact Builder when a business unit has a subscriber filter defined (only a limited set of mobile-related source channels remain visible).Use caution when enabling this feature.

Q3. Can a subscriber filter apply only to users with specific permissions or roles?
A. No. You can't configure a subscriber filter to apply only to users with a specific role.

Subscriber filters are defined and applied at the business unit level. The scope of subscribers available for search and display depends on which business unit the user is currently working in.

If you don't want to restrict specific users, grant them access to a parent business unit that has no filter configured, or set up a permission structure that lets them work from a different business unit that isn't affected by the filter.

Q4. Can I use standard fields as subscriber filter criteria?
A. No. Standard system attributes, such as email address, can't be used as subscriber filter criteria. To enable a subscriber filter, create a separate custom profile attribute to use as the basis.

Q5. How do I set up a subscriber filter?
A. Follow these steps to set up a subscriber filter:

  1. Go to Email Studio > Subscribers > Profile Management and create a new custom profile attribute to use as the filter basis. Note: You can't reuse a name that matches an existing system attribute.
  2. Go to Setup > Administration > Business Units.
  3. Select the target business unit and click Define Subscriber Filter.
  4. Select the attribute you created, specify an operator and value, and save.
Q6. What happens if I rename or delete a profile attribute that's used as a subscriber filter condition?
A. Renaming the profile attribute causes an error when you open All Subscribers in the business unit (BU) that uses that filter condition, and you won't be able to view the affected data.

Deleting the profile attribute not only removes it from the list — it also permanently erases all subscriber data (values) stored in that attribute, with no way to recover it.

Important: Before editing a profile attribute used in a subscriber filter, remove the filter from the affected business unit's subscriber filter settings first, then make the change. This prevents unintended impact.
