Importance of User Role Permissions for Salesforce Maps

Description

To ensure that Salesforce Maps can accurately organize folders and secure routing based on your hierarchy, users require View Roles and Role Hierarchy system permission to query UserRole records.

Why this is important: Salesforce Maps uses the User Role hierarchy for the following features:

  • Show User Folders: Maps walks the role hierarchy from top to bottom to determine folder permissions and subtree access. This ensures users only see personal folders at or below their own role in the hierarchy.
  • Routing Role Security: Maps use the hierarchy to restrict route assignments. Only users with a role at or below the current user’s role are displayed.
Resolution

Warning Message “Unable to Determine All Folder Permissions. Some Functionality May Be Limited”

If users see the above warning message regarding UserRole access when accessing Maps, you can:

  • Grant 'View Roles and Role Hierarchy' Permission: Update user profiles or create and grant new permission sets to allow access to query UserRole records. 
  • Adjust Settings: Disable Show User Folders or Routing Role Security in Maps setup if role-based hierarchy is not required for your business process.
