Timesheet Creation Behavior When Using Timesheet Templates

Publish Date: May 22, 2026
Description
When using timesheet templates to automate timesheet creation, it's important to understand how the system handles partial periods — especially when a template is activated mid-cycle or when a new employee joins mid-period.

Scenario 1: Activating a Template in the Middle of a Period
If a timesheet template is configured with a weekly frequency and is activated in the middle of a week, the system will:

  • Create a partial timesheet for the current (ongoing) week, covering only the remaining days from the activation date through the end of that week.
  • Create full timesheets for all subsequent weeks going forward.

Example: If a weekly template is activated on a Wednesday (assuming the workweek runs Monday to Friday), a partial timesheet is generated for Wednesday through Friday of that week, and full weekly timesheets are created from the following Monday onwards.

Scenario 2: Employee Onboarded Mid-Timesheet Period

The behavior differs when a new employee is onboarded in the middle of a timesheet period. In this case:

-> A partial timesheet is NOT created for the new employee for the period in which they joined.
-> Timesheets will only be generated starting from the next full period after the employee's join date.

Example: If the template is set to monthly and an employee joins after the 1st of the month where the timesheet creation job has already been completed for the current month, no partial timesheet will be created for that month. The employee's first timesheet will be for the following full month.
