Field Service: Inactive Work Step Templates Remain Selectable in Work Plan Template Entry Lookup

Problem

In Salesforce Field Service, inactive Work Step Templates remain visible and selectable in the Work Plan Template Entry lookup picker. Administrators may expect inactive templates to be hidden or blocked, but they continue to appear as valid options in the lookup UI.

Cause

When a Work Step Template is marked inactive, Salesforce preserves the record rather than deleting it. This soft-delete approach maintains referential integrity for existing Work Plan Template Entries that already reference the template.

The Inactive flag is a status indicator only — it doesn't filter the record from lookup pickers. Look up visibility is left to administrators to configure based on their business rules. This is consistent with other Field Service objects; for example, inactive Service Resources are excluded from the scheduling engine but remain visible in lookups unless a filter is applied.

Resolution

Because the Inactive flag does not filter lookup visibility, implement a lookup filter on the Work Step Template field to prevent inactive templates from being saved to a Work Plan Template Entry:

  1. In Setup, go to Object Manager and search for Work Plan Template Entry.
  2. Click Fields & Relationships and open the Work Step Template field.
  3. Scroll to the Lookup Filter section and click New.
  4. Set the filter condition: Work Step Template: Active equals True.
  5. Set the Filter Type to Required.
  6. Click Save.
  7. Test by attempting to add an inactive Work Step Template via the lookup — the save should be blocked.


NOTE: The lookup picker and related-list Add picker are part of the Field Service managed package and cannot be customized. Inactive templates will still appear as selectable options in the picker UI, but the lookup filter will prevent them from being saved.
 
NOTE: Lookup filters apply only to the top 200 search results. If inactive templates fall outside this range, they may not appear in the filtered list. See Expected Lookup Search Results Not Available in Salesforce When Using Lookup Filters for more detail.
 
NOTE: If Dynamic Forms are enabled on the Work Plan Template Entry record page, confirm the Work Step Template field is added to the Lightning record page for the lookup filter to work correctly.
