Tableau Server/Cloud Extract Refresh Fails with Expired or DataServiceFailure Error

On Tableau Server or Tableau Cloud, when attempting to run an extract refresh task for a workbook that connects to a separately published data source such as Snowflake, the refresh job may fail intermittently with an "Expired" status or the following error, even though the credentials or authentication tokens are still valid:

com.tableausoftware.nativeapi.exceptions.FederatedDataSourceException: Unable to connect to published data source to refresh data. Please publish your workbook with “Allow refresh access” selected.
No Tableau Server user found.
DataServiceFailure

Root Cause

This issue occurs when data source credentials are not properly embedded in the workbook during publishing or web authoring, or when credentials are cleared due to actions such as changing content ownership.

解決策

To resolve this issue, re-embed the credentials into the workbook by republishing it or using Web Authoring.

Option 1: Overwrite using Web Authoring

  1. Sign in to the Tableau Cloud site and open the affected workbook. 
  2. Click Edit in the toolbar to enter Web Authoring mode. 
  3. Select File > Publish As. 
  4. Keep the exact same workbook name to overwrite the existing workbook. 
  5. Check the box labeled "Embed password for data source".
  6. Click Publish. 

Option 2: Republish from Tableau Desktop

  1. Open the workbook in Tableau Desktop. 
  2. Sign in to Tableau Server/Cloud as needed and select Server > Publish Workbook. 
  3. In the Publish Workbook dialog box, locate the Data Sources section and click Edit. 
  4. Ensure the Authentication drop-down for the data source connection is set to "Embedded password" or "Allow refresh access". 
  5. Click Publish to overwrite the workbook on Tableau Cloud. 

Best Practice: As a best practice to avoid credential issues at the workbook level, consider configuring the extract refresh schedule directly on the published data source rather than within the workbook. Workbooks can then connect to this published data source via a live connection.
