Why Users Cannot Edit Timesheet Entry Dates in Field Service

Field Service users may encounter a scenario where they cannot edit the Start Time or End Time fields on existing TimeSheetEntry records. The date fields appear read-only or grayed out even though users have the appropriate profile access.

This issue affects standard users in Field Service and can occur even when users have successfully edited timesheet entries in the past. The three most common causes are timesheet status, Field-Level Security (FLS) settings, or page layout configuration.


Real-Life Example: A dispatcher reviewing a submitted timesheet in Field Service may need to correct a technician's Start Time that was logged incorrectly. If the timesheet has already been submitted for approval, the Start Time and End Time fields appear grayed out and cannot be edited. The timesheet approver must reject it back to New or In Progress status before corrections can be made.

This article covers three configuration factors that can cause TimeSheetEntry date fields to become read-only in Field Service. Identify which scenario applies to your environment and follow the steps below. Start with Scenario 1 — Timesheet Status — as it is the most common cause.

Note: If the timesheet status is Submitted or Approved, date fields remain read-only until the status is changed back to New or In Progress, regardless of Field-Level Security or page layout settings.

Root Cause

Timesheet entry date fields become read-only due to one of three configuration factors: the parent timesheet's status, Field-Level Security (FLS) restrictions, or page layout settings.

 

Scenario 1: Timesheet Status (Most Common)

When a TimeSheet record's status is Submitted or Approved, all related TimeSheetEntry records become read-only, including Start Time and End Time fields. This is intentional product behavior to maintain audit trail integrity.

Steps to resolve:

  1. Navigate to the TimeSheet record (parent of the TimeSheetEntry)
  2. Check the Status field
  3. If status is Submitted or Approved, the timesheet must be recalled or rejected back to New or In Progress status by the approver
  4. Once status is changed to New or In Progress, users can edit the TimeSheetEntry date fields
  5. After corrections are made, resubmit the timesheet for approval

Scenario 2: Field-Level Security

Field-Level Security (FLS) settings on the TimeSheetEntry object may restrict the Start Time and End Time fields to read-only for specific profiles.

Steps to resolve:

  1. Navigate to Setup → Object Manager → TimeSheetEntry
  2. Click Fields & Relationships
  3. Click StartTime
  4. Click Set Field-Level Security
  5. Review the profile assigned to your users
  6. If the field is marked Read-Only, change it to Visible
  7. Click Save
  8. Repeat steps 3-7 for the EndTime field

Scenario 3: Page Layout Configuration

The TimeSheetEntry page layout assigned to users may have Start Time and End Time fields configured as read-only.

Steps to resolve:

  1. Navigate to Setup → Object Manager → TimeSheetEntry
  2. Click Page Layouts
  3. Identify which page layout is assigned to the user's profile
  4. Click Edit on that page layout
  5. Click the wrench icon on the StartTime field
  6. Uncheck Read-Only if it's checked
  7. Click OK
  8. Repeat steps 5-7 for the EndTime field
  9. Click Save
