This article explains how users with Unified Employee Licenses can be automatically created when an employee record is created.

Relationship Between User, Employee, and Person Account Objects

Unlike Customer Community Plus users—who have their contact associated directly on the user detail page—Unified Employee License (UEL) users intentionally do not have a contact linked on their user page.

Instead, the Employee record acts as a junction connecting the User and the Person Account using two key fields:

  • Employee User Field: Links to the user holding an Employee object compatible license (such as the Unified Employee License). 

  • Contact Field: Links to the associated Person Account record.

UEL user creation from Employee record:

Salesforce provides an out-of-the box option to create a UEL user when a employee record is created. The basic pre-requisites as follows -

  • Navigate to Employee User Settings under setup and make sure the default values for user records are as below:

Profile - Select the profile that is compatible with the Unified Employee License. Example: Unified Employee.

Permission Set - Select the Permission set 'ITSM Portal UEL user'

The other fields like Employee Status, Email Encoding and Domain can be configured as per the business use case.

  • Toggle ON the User Creation and Data Sync option.
  • Toggle ON the Create Unified Employee Records option.

After the above pre-requisites are set, when an admin user creates a Employee (ObjectAPI:Employee2) record it will generate a corresponding Person Account and redirect the admin to that new record. The UEL User is then created automatically in the background and linked to the Employee User field on the Employee record.

NOTE: 

Background user creation may sometimes takes a couple of minutes. During this delay, admins might see an "Enable Customer User" option on the Person Account page—do not click it.

If the user is still not created after a few minutes, navigate to Employee User Provisioning Processes via the App Launcher. You can review the provisioning logs and find any error details in the related section of the provisioning records.
