Salesforce Education Cloud Scheduler: wrong topics shown or double-booked advisor slots when a service resource has multiple shifts

When using the Education Cloud Scheduler OmniScript to schedule student appointments, users may encounter the following symptoms:

  • A service resource appears as available for a topic even though their Shift record does not have that topic selected
  • A student can book an appointment during an advisor's blocked or personal (non-Salesforce) calendar time
  • A student sees available appointment slots during a time slot already booked by another student
  • The Select Service Appointment Time screen is completely blank or displays an error related to shifts or timeslots

These issues affect users with the Education Cloud Full Access permission set who manage advisor availability, and student portal users on Enterprise, Performance, Unlimited, and Developer Editions with Education Cloud enabled.
The trigger conditions are: a service resource has multiple Shift records that combine work topics and engagement channels (for example, a Topic Shift and a Virtual Channel Shift), and the Multiple Topics for Shifts (ShiftWorkTopic) feature or appointment overlap rules are not configured to prevent the resulting conflicts.

Cause 1: Wrong topics appear when a service resource has multiple Shift records with engagement channels

⚠️ Critical — this setting is irreversible. Once Multiple Topics for Shifts is enabled, it cannot be disabled without Salesforce internal (GOD-level admin) intervention. Test thoroughly in a sandbox before enabling in production, and verify all ShiftWorkTopic records have non-zero capacity values before go-live — a default capacity of 0 blocks all resource retrieval entirely.

  1. Go to Setup > Feature Settings > Scheduler > Salesforce Scheduler Settings.
  2. Enable both Multiple Topics for Shifts and Capacity-based Scheduling.
  3. In your Scheduling Policy, set Use service territory member's shift to true.
  4. After enabling, run the initialization script (BatchProcessShiftWorkTerritory) to populate ShiftWorkTopic records with correct capacity values. Each record created defaults to MaxAppointments = 0, which blocks all slot retrieval until corrected.
  5. For each ShiftWorkTopic record, set MaxAppointments to the desired concurrent appointment limit per shift per topic.
  6. To allow a shift to serve all topics with a shared capacity ceiling, set AreAllTopicsSupported = true on the ShiftWorkTopic row. 
  7. Confirm all Work Types for the multi-topic shift belong to the same Service Territory as the Shift record.
  8. Test the complete booking flow end-to-end in sandbox before deploying to production.

Cause 2: Students double-book an advisor during blocked or non-Salesforce calendar time

  1. Go to Setup > Feature Settings > Scheduler > Salesforce Scheduler Settings and ensure Capacity-based Scheduling is enabled. This is required for overlap prevention to function when Multiple Topics for Shifts is in use.
  2. For blocked or personal time that lives outside Salesforce (e.g. Outlook events), create an Absence record for the advisor: go to App Launcher > Manage Availability, select the service resource and territory, and create a vacation or time-off block covering the blocked period. Salesforce Scheduler treats Absence records as unavailable time.
  3. Important — Education Cloud uses Shifts only. Education Cloud scheduling components work exclusively with Shift records to determine availability. Outlook calendar events do not sync to Salesforce Scheduler in Education Cloud and are not validated against available time slots — this means double-booking can occur for any time blocked only in an external calendar. Manually create Absence records for all external blocks. There is no native external calendar sync for Education Cloud advisors. If this functionality is required, submit a feature request to the Education Cloud PM team.
  4. Verify the Scheduling Policy applied to the advisor has Check External Calendars for Resource Availability enabled if the org has Einstein Activity Capture configured — note this only affects EAC-synced events, not all Outlook events.

Cause 3: The Select Service Appointment Time screen is blank or displays a shift/timeslot error

  1. The Select Service Appointment Time component does not render records in non-English languages. Set the running user's Language to English (Setup > Users > Users > [User] > Language) to confirm whether slots return.
  2. Verify the service resource has an active Shift within the requested date range and a Service Territory Membership covering that period: Setup > Object Manager > Service Territory Member.
  3. Confirm the selected engagement channel exists on at least one active Shift for that resource and territory.

 

Verification: Log in as a student in the portal, run the EDUScheduler StudentAppointment OmniScript, select the affected topic and engagement channel, and verify that:

  • Only advisors whose Shift includes that topic appear in results
  • No slots are offered during an advisor's absence or an existing booking
  • Time slots display without error on the Select Service Appointment Time screen
