Best Practices for Using the Order Management Agent Standard Permission Set

Users encounter an error when assigning the Order Management Agent permission set. The error indicates that certain permissions — such as View All Credit Memos — are not supported for the selected license type. This typically occurs when the permission set is added to a Permission Set Group (PSG) that includes users with license types that do not support all permissions bundled in the standard Order Management Agent permission set.

Example scenario: A Salesforce admin is configuring Salesforce Order Management for a team that includes external partner community users. When they attempt to add the Order Management Agent permission set to an existing Permission Set Group (PSG)
shared with those users, they receive the error below — because the Partner Community license does not support the View All Credit Memos and Modify All Invoice permissions included in the standard permission set.

Steps to Reproduce

  1. Go to Setup → Permission Set Groups.
  2. Open the existing Permission Set Group (PSG) where the Order Management Agent permission set is added.
  3. Remove the original (uncloned) Order Management Agent permission set from the group.
  4. Click Save.
  5. Click Add Permission Sets and re-add the same original permission set back to the PSG.
  6. Click Save again.
  7. An error similar to the following appears (example shown for a Partner Community license)

Resolution

The error occurs because the standard Order Management Agent permission set includes "View All" and "Modify All" permissions for objects such as Credit Memo and Invoice. These permissions are not supported by all Salesforce license types. The solution is to create a cloned version of the permission set with only the permissions compatible with your users' license types.

Steps to Resolve

  1. Clone the Order Management Agent permission set. Navigate to Setup → Permission Sets, open Order Management Agent, and click Clone. Give the cloned set a descriptive name such as Order Management Agent — Partner Community.
  2. Remove restricted permissions from the clone. In the cloned permission set, remove "View All" and "Modify All" permissions for objects such as Credit Memo and Invoice that are incompatible with the target license type.
  3. Assign the cloned permission set to the Permission Set Group (PSG). Remove the original Order Management Agent permission set from the PSG and add the cloned version in its place. Verify that no errors appear on save.
  4. Confirm that all users in the PSG hold the LightningOrderManagementUser Permission Set License (PSL). Navigate to Setup → Users, open each user record, and verify the Permission Set License Assignments section includes LightningOrderManagementUser.
  5. Test in sandbox before applying to production. Confirm the cloned permission set functions correctly for all affected users in a sandbox environment before replicating the change in production.
