Field Service: Event Subject Not Updating From Service Appointment for Non-Admin Users Due to Flow Sharing Context

Description

When a record-triggered flow synchronizes Service Appointment fields to an associated Event record in Field Service, non-admin users may experience the Event Subject not updating and the Event not appearing on the Assigned Resource. 

Résolution
Because the flow runs in System Context with Sharing, it cannot access Events owned by other users for non-admin running users. Follow the steps below to resolve:

  1. Open the record-triggered flow in Flow Builder.
  2. Click the start element or open Flow Properties via the gear icon.
  3. Under How to Run the Flow, change the run context from System Context with Sharing — Default to System Context without Sharing.
  4. Save and activate a new version of the flow.
  5. Verify the fix by having a non-admin user create a Service Appointment with an Assigned Resource, then confirm that the Event Subject updates correctly.


NOTE: Running a flow in System Context without Sharing bypasses all sharing restrictions for record access within the flow. Review the Get Records and Update Records elements to confirm they target only the intended Event records and do not expose sensitive data to unauthorized users.
