Merchant Account Record Access and Sharing

Merchant Account Record Access and Sharing

Maintain strong data access controls by allowing merchant account access to only relevant users. Different merchant accounts can help organize your business by different regions and currencies. Dividing merchant account ownership limits access, which improves security. Ensuring the right people in each geography have necessary account access helps with issues such as regulatory compliance. To distribute responsibilities, merchant account owners can configure sharing on a per-record basis so payment processing runs smoothly.

When you set up merchant accounts, the owner of the account automatically gets access to the account’s payment intent records. The owner can share access with other users, who can manage transactions if needed. For example, Sid owns three merchant accounts for the UK, and his two-month leave begins soon. Sid shares the merchant accounts he owns with Ashley. Now, all the payment intent records for those three merchant accounts are automatically shared with Ashley, who can manage them in Sid’s absence. If needed, Ashley can share the records with another colleague.

There are two ways to apply sharing—manually or with sharing rules. Manual sharing gives specific users access to certain types of records, and it’s configured at the individual merchant account object record. Sharing rules extend sharing access to users in public groups, roles, or territories, and they give particular users greater access by making automatic exceptions to your org-wide sharing settings. Sharing rules are configured from Setup in Sharing Settings.
