Types of Email & Print Templates

Discover the various types of Point of Sale email templates and learn how to generate each one efficiently. Tailored for retail professionals, these templates streamline communication, ensuring messages are consistent and effective.

Note You can only have one template saved for each type of template, that is, you can't have two Order Print Receipt templates.

Automatic Customer Order Confirmation

This email is automatically sent after the completion of an order.

Customer Order Confirmation

This template has been deprecated. It is recommended to use the Transaction Receipt template.

Gift Receipt

This email is sent when a customer purchases a gift and wants a gift receipt. It is sent when the store associate toggles the Gift Receipt feature on the order confirmation screen in the app. The customer must enter an email address and then click SEND.

Order Print Receipt

This receipt is printed when a customer completes a purchase. It is printed when the store associate clicks on Print Receipt on the order confirmation screen.

Note Though similar to Transaction Receipt, Order Print Receipt differs because it is only printed on an A4 printer while Transaction Receipt is exclusively used for emails.

Order Refund Confirmation

This template has been deprecated. It is recommended to use the Transaction Receipt template.

Share Cart

This email is used when the user clicks the share icon on the cart page on the POS app. To send the email, click on the share icon in the header of checkout page. Then enter an email address, add an email subject (optional), and click Share.

  • Add a product to the cart.
  • Click the share icon in the top right.

Note The Share Cart app config setting must be enabled.

Share Collection

This email is used to share a collection created in the store associate app. To send the email, similar to Share Cart, select a collection, and click the share icon in the page header.

  1. Go to Collections (Engagement > Collections).
  2. Create a collection.
  3. Click the Share icon.

Share Quote

This email is used when a customer receives a quote. To send the email, click on QUOTE on the saved cart page.

Note The EnableQuoteOnSavedCart app config setting must be enabled. For more information about Share Quote, see Create and Manage Customer Quotes.

Share Payment Link

This email is used to complete a pay-by-link purchase. The customer is sent an email that includes the payment link and expiry date.

A default email template for the payment link is saved in the Point of Sale system. The Backend uses this default email template for the payment link email.

  1. The user does not need to configure it manually for each merchant.
  2. Store property “dispatch.from.email.address” must be configured.

For instructions on how to configure, see Point of Sale Pay by Link (PBL) Overview.

  1. Add a product to the cart.
  2. Send the pay-by-link to the customer.
  3. Have the customer complete the payment step.

Transaction Receipt

This email is used to send an email confirmation for POS transactions (Sale, Return, and Exchange transactions). It is sent when the order is placed and the store associate clicks on SEND on the order confirmation screen in the app after the customer has entered their email address.

Note POS App printed paper receipts follow this same model of transaction-level printing.

Transaction Receipt template generates email confirmation with data and information at the transaction level. It doesn't mix data across transactions for any particular order.

Sale, Return 1, Return 2, and Return 3 for an order are all considered separate transactions. Email confirmation for each transaction will strictly show the view from that transaction perspective only.

  • Successful Order or Transaction Confirmation - Information related to that particular sale transaction or return or exchange transaction is generated and sent via email.
  • Order History > Particular Order > Receipt Options screen - Information related to all transactions (if there were more than one, for example, Sale, Returns, and Exchanges for that order) is sent in the email but with clear demarcations so that individual transactions are listed and exact picture for each transaction is available to the customer.
  • Legacy Customer Order Confirmation & Order Refund Confirmation templates have to be configured separately. Legacy Refund Confirmation template would combine all the returns executed for a particular order and send the consolidated picture from Return 1, Return 2, Return 3... in one email. There is no way to generate an email receipt showing all transactions in chronological order to from Sale to Return 1, 2, 3.

Purchase Order Receipt

This email is sent for purchase orders. See Add Purchase Orders.

Return to Vendor Transfer

This email is used when inventory is returned to the vendor. For more information on this feature, see Manage Return to Vendor Transfers in Point of Sale. The email is automatically sent when the corresponding event happens.

Store to Store Transfer

This email is used when inventory is transferred from one store to another. For more information on this feature, please read Manage Store to Store Inventory Transfers in Point of Sale. The email is automatically sent when the corresponding event happens.

EJ Print View

Point of Sale uses one of these templates to create the EJ Print receipt:

  • Transaction Print Receipt: Enable store setting "enableTransactionPrintReceiptForEJ" to use the Transaction Print receipt template for the EJ print view.
    1. In CMS, go to Store Management > Store Settings > Print Receipts.
    2. Toggle enableTransactionPrintReceiptForEJ to active.
    3. Click SAVE.
    If the setting is enabled and there is no configured Transaction Print receipt template for the merchant then Point of Sale uses the default Transaction Print receipt to render EJ Print Receipt.
  • Order Print Receipt: Point of Sale uses "Order Print receipt" for the EJ Print view if the "enableTransactionPrintReceiptForEJ" property isn't enabled for the merchant.

    If the "Order Print receipt" template isn't configured for the merchant, the Point of Sale uses "Customer Order Confirmation" (SALE or EXCHANGE transaction) and "Order Refund Confirmation"(REFUND transaction) template as a fallback.

If any of these templates aren't configured for the merchant, then the EJ Print Receipt won't be generated.
