          Set Up Actionable List Definitions

          Assign users the necessary permission sets, and enable Actionable Segmentation in your Salesforce org. Create actionable list definitions and configure them, and activate actionable list definitions.

          After activating the actionable list definitions, ensure that you create a Schedule-Triggered flow to refresh the datasets periodically.

          • Assign Permission Sets for Actionable Segmentation
            Give users access to use the Actionable Segmentation feature by assigning permission sets.
          • Enable Actionable Segmentation
            To create and view actionable list definitions and lists, enable the Actionable Segmentation feature in Setup. After enabling this feature, you can create and activate actionable list definitions, and create actionable lists using these list definitions.
          • Set Tab Visibility and Assign Object Permissions
            To create, edit, and view actionable lists, set the tab visibility, and enable permissions for the Actionable List, Action List Member, and Actionable List Column objects.
          • Create an Actionable List Definition
            Create an actionable list definition by using Data Processing Engine that helps you transform data available in your Salesforce org and write back the transformation results as a new dataset.
          • Select Default Visible Columns for Actionable Lists
            The dataset associated with an actionable list definition contains records that you can use as a data source to create actionable lists. Select the fields from this dataset to be visible as default columns in the actionable list and set their display order.
          • Set the Display Format for Actionable List Columns
            Set the format of dataset fields, and change the order in which these fields appear in actionable lists. The formatting and reordering capability helps list creators to visualize data easily.
          • Configure Actionable List Member Statuses
            You can configure list member status values to represent the status of client engagement activities planned for list members. For example, if a client engagement activity is to call list members, the various call status values are Successful, Failed, Busy, No-Answer, and Canceled. You can add these status values and icons that best represent these status values.
          • Activate Actionable List Definitions
            Activate an actionable list definition so that it’s available for your business users to create an actionable list. You can activate an actionable list definition, only after the dataset is created successfully, and you have configured default visible columns and list member status values.
          • Refresh Datasets Periodically Using Flows
            After you activate and run a data processing engine definition, a dataset is created and saved in a shared space in CRM Analytics. To ensure the dataset is refreshed periodically so that it contains the latest records, run the data processing engine definition using a Schedule-Triggered flow.
          • Delete Actionable List Definitions
            Delete inactive actionable list definitions that you aren’t using. Before you delete a definition, make sure that it’s not used by any actionable list.
          • Track API Call Usage and License Validity for Queries for DataPipelines
            To ensure a smooth actionable list creation experience, monitor the Queries for DataPipelines API call usage and Query for Datapipelines User license validity on the Actionable Segmentation Settings page.
          • Set Actionable List Status Values
            Review the default status values available for an actionable list, delete status values that the list creators don’t need, and set up new values that suit the business needs.
          • Move Actionable Segmentation Data
            Review these points before you move Actionable Segmentation data, its related records, and setup from sandbox to production and vice versa.
