          Assign Applicant and Grantee Support Agent Permissions to Users

          Assign the required permission sets to the Community and Platform users who interact with the Applicant and Grantee Support Agent through your Grantmaking Experience Cloud site.

          This topic covers permissions for the human users who interact with the agent—Community users (external grant seekers) and Platform users (internal staff). It doesn’t cover the agent user (bot). The agent user's permission sets are configured as part of the initial agent setup. See Set Up the Applicant and Grantee Support Agent.

          The Grantmaking Experience Cloud site supports two types of human users:

          • Community users hold a Customer Community Plus license and access the agent as external grantseekers through the Experience Cloud site. Community users are created when grantseekers self-register on your site. Complete Configure the Experience Site for the Applicant and Grantee Support Agent before assigning permissions to Community users.
          • Platform users hold a Salesforce Platform license and access the agent as internal staff through the Experience Cloud site. Platform users must already exist as Salesforce Platform license holders in your org before you can assign permissions to them.

          Access to the agent's content retrievers works differently depending on user type. Community users require a Data Cloud governance policy to reach the retriever data model objects that were tagged in Create a Document Library for the Applicant and Grantee Support Agent and Create a Knowledge Article Library for the Applicant and Grantee Support Agent. Platform users are covered automatically by Salesforce's default All Data Access ruleset policy and don't require extra data configuration.

          1. Create a Data Cloud governance policy to grant external users access to the retrievers.
            This step is required for Community users. It creates a Data Access policy that allows authenticated external users to query the retriever data model objects you tagged when setting up your content libraries.
            1. From the App Launcher, open Data Cloud and click Data Governance.
            2. In the left panel, select Policies, then click New.
            3. Select Data Access and click Next.
            4. Enter a name for the policy, set Authorization Level to Authenticated External User, and click Next.
              Note
              Note If the Authorization Level field isn't visible, your org may be missing a required Data Cloud license or the Data Cloud Governance feature may not be fully provisioned. Confirm that the required licenses are provisioned in your org. See Applicant and Grantee Support Agent Requirements.
            5. In the Policy Builder, configure the Rules tab.
              • Resource: Object
              • Action: Allow Access
              • Take Action On: All objects
            6. Click the Users tab and set Take Action On to All users.
            7. Click Save and Activate.
          2. Assign permissions to community users.
            Complete these substeps for each user who accesses the Applicant and Grantee Support Agent with a Customer Community Plus license.
            1. From Setup, enter Users in the Quick Find box, then select Users.
            2. Open the community user's record.
            3. In the Permission Set Assignments section, click Edit Assignments.
            4. Add the following permission sets and click Save.
              • Data Cloud User
              • Applicant and Grantee Support Agent for Community
              • Prompt Template User
          3. Assign permissions to platform users.
            Complete these substeps for each user who accesses the Applicant and Grantee Support Agent with a Salesforce Platform license.
            1. From Setup, enter Users in the Quick Find box, then select Users.
            2. Open the platform user's record.
            3. In the Permission Set Assignments section, click Edit Assignments.
            4. Add the following permission sets and click Save.
              • Data Cloud User
              • Applicant and Grantee Support Agent for Company Community
              • Prompt Template User

          Users with the assigned permission sets can access and interact with the Applicant and Grantee Support Agent on your Grantmaking Experience Cloud site.
