Map Document Fields to Object and Record Type Fields

Intelligent Document Reader extracts data from the incoming document and stores them in document fields. Select an object and an associated record type to store the extracted data and then map document fields to the fields of the selected object and record type.

User Permissions Needed
To map document fields to the target object and its record type fields:

For fields that include special characters, Intelligent Document Reader tries to find matching document fields. If there aren’t any exact matches, the leading and trailing characters are removed before finding matching document fields again. For example, if a field is marked as required by using an asterisk, such as First Name*, Intelligent Document Reader processes only the field name.

If the system is unable to find document fields to store some of the data in the incoming document, you can add document fields manually.

  1. To add a document field, click Add Field.
    A row appears to map a document field to a target object field or a target object’s record type field.
  2. For the new document field, enter a name that corresponds to the data in the incoming document.

    • If you disable Amazon Textract Tables, you only see tabs for Forms.
    • Enabling Amazon Textract Tables creates separate tabs for forms and tables, helping you analyze different document structures effectively.
    • Each extracted table receives a sequential label (Table 1, Table 2, and so forth) for easy identification.
    • Disabling Amazon Textract Tables removes the capability to analyze and extract information from tables. However, the Forms tab remains accessible in the template for processing form-based data.
    • For queries, the document fields show the alias you’ve created.
  3. Select a target object from the Target Object dropdown.

    • You can map document fields to fields of multiple objects by changing the target object.
    • The list of objects that users see is based on their access level. Review the permissions assigned to your users and ensure that they see all the objects that they need.
  4. Optionally, select a record type of the target object from the Object Record Type dropdown.
    The Default record type is selected by default. The Default record type corresponds to the Master record type that's used when a record has no custom record type associated with it.
  5. Select a target object field or a target object’s record type field in the Target Object Fields column for the required document fields.

    • If there are multiple fields with the same value, then you get a warning in the transform document flow.
    • Use Amazon Textract queries when incoming documents contain duplicate or conflicting fields. By using Amazon Textract queries, you can create different aliases and queries for each set of data and decide where to place them. For example, if a document contains the phone numbers of your users and the service provider, you can create two separate aliases and queries and then use the aliases to map the required fields.
    • During document transformation, Amazon Textract queries use the table and page numbers specified in the template to identify specific tables (along with rows within them), ensuring accurate mapping of extracted data to the corresponding fields.
  6. After adding all the missing document fields and mapping all the required document fields to the target object fields or the target object record type fields, save your changes.
  7. To activate the template, click Activate.
    You can map just a few document fields and save the mapped fields with unmapped document fields.

    Note You can map checkbox values in uploaded documents to checkboxes in Salesforce records. For example, you can map a No Known Allergies checkbox in a document to a custom No Known Allergies checkbox in the Account object. You can also map options in the document to picklist values. Suppose an insurance policy requires information about chronic conditions. Let’s say the options are Arthritis, Asthma, Diabetes, and Osteoporosis. You can have a Chronic Conditions picklist field in the Account object and add the four options as the picklist values. When users create a record using the policy document, the option selected in the document is auto-selected in the Salesforce record.

Your users can now upload documents to automatically extract data into the objects. View the scanned pages and content records for the document on the OCR Scan Result related list.
