Configure Standard Activity Visibility

Ensure users can view and interact with supported engagement activities in the Activity Timeline based on your existing sharing rules and territory configurations.

Use standard Salesforce sharing when your organization’s security model allows users to access the original activity records. This approach is ideal for teams that collaborate on the same accounts and where data sensitivity can be managed through standard Field-Level Security (FLS).

When you use standard sharing, the Activity Timeline acts as a window into your existing database. Any update to a record, such as a Visit or a Survey Response, is reflected immediately in the timeline.

  1. Grant users access to Visits and related records.
    1. From Setup, use the Quick Find box to find and select Profiles.
    2. Edit the profiles associated with your users.
    3. Configure the sharing of visit records. For instructions, see Enable Visit Sharing.
    4. Grant users access to Visit detail information.
    5. Under Standard Object Permissions, provide View All access to: Product Disbursements and Provider Visits Product Detailings
    6. Alternatively, configure sharing settings for: Product Disbursements and Provider Visits Product Detailings
    7. Save your changes.
  2. Ensure Inquiry records are shared across all territories. For instructions, see Define Sharing Settings for Medical Inquiries.
  3. Enable Assessment Task visibility.
    1. Assign users the Life Sciences Key Account Management permission set.
    2. Alternatively, add users or user groups as participants in the related Account Plan.
    3. Ensure automation handlers are enabled so sharing rules apply correctly.
  4. Configure Survey Response access.
    1. Grant users Edit access to the associated Survey Invitation record.
    2. For external participants, enable the AllowParticipantViewResponses setting.
  5. Enable Life Sciences Email visibility.
    1. Ensure users have access to the Life Sciences Email and the required sharing permissions.
Example
Example A sales rep and a service agent both work on the same Acme Corp account. The Sales Rep records a Visit. Because both users have View access to the Visit object and the specific record, the service agent sees the visit in their timeline and can click into the record to see detailed meeting notes.
