Attendee Quota
Manage the scale of an event by implementing participant invitation quotas. Define the number of managed event participants that the user, who is assigned the colleague participant role and the contributor participant type, can add to an event.

Exemption
Configure the managed event participant’s responses that indicate that the invite is excluded from being counted in the colleague’s invitation quota. Select the relevant statuses in the Colleague Invitation Quota Exempt Status multi-select picklist field in Field Event’s profile-level admin console configurations.
Setup
Make sure you add the Default Invitation Quota field to the Managed Event’s page layout.
How Attendee Quota works
- When the user adds a value to the Default Invitation Quota field, the MngEventPtcpSetAttendeeQuotaHandler trigger handler automatically updates the colleague’s invitation quota accordingly.
- When the user adds a new Managed Event Participant record with the participant type as colleague and the participant role as contributor, or when the user updates the participant type and role of an existing Managed Event Participant record to colleague and contributor, the MngEventPtcpSetAttendeeQuotaHandler trigger handler updates the Managed Event Participant’s Invitation Quota field to reflect the Managed Event’s Default Invitation Quota value.
- When a colleague invites an attendee to an event, the MngEventParticipantInvitedByHandler trigger handlers updates the attendee Managed Event Participant record’s Invited By field to show the colleague’s Managed Event Participant record.
- When a colleague invites an attendee to an event, the AttendeeQuotaCountOfAttendeesHandler trigger handler updates the Current Invitation Count in the colleague’s Managed Event Participant record.
- If a colleague’s Current Invitation Count exceeds the Invitation Quota assigned
to them, the system flags the violation in two ways
- On the web: The action is blocked with an error message.
- On mobile: The action is allowed, but in the Managed Event Participant record of the attendee who was added after the quota was exceeded, the Invitation Quota Discrepancy Reason field is marked as “Quota Exceeded”.
