Configure Profile-Level Settings for Event Management

To define event management configurations, compliance checks, participant search, and eligibility criteria, set up the event management Admin Console settings. You can apply the settings to a specific profile or the entire org.

Available in: Enterprise and Unlimited Editions with Life Sciences Cloud, Life Sciences Cloud for Customer Engagement Add-on license, and the Life Sciences Customer Engagement managed package.
User Permissions Needed
To configure Admin Console settings: Life Sciences Commercial Admin permission set
  1. From the App Launcher, find and select Admin Console.
  2. Select the Event Management tile.
  3. In the left navigation pane, select Field Events Profile Settings.
  4. Choose whether you want to configure the settings for the org or for a specific profile.
    Note
    Note These settings use the Admin Console hierarchical framework. Before you configure them, review how precedence works and the related considerations in Hierarchical Settings in the Admin Console.
  5. Configure the event settings that generally apply for the profile.
    1. For Participant Invitation Response Default Status, select the participants’ default response to managed event invitations.

      Choose a value from among the statuses available in the Managed Event Participant’s Participant Response field.

    2. Choose whether the system captures the attendee’s location at the time of sign-in.
    3. Choose to attach receipts to expense reports.
    4. Choose to verify that the sign-in date is within the event’s start and end dates.
    5. Enable sales reps to add write-in attendees to an event.
    6. In Default Managed Event Duration in Minutes, enter the default duration of an event in minutes.
  6. Configure compliance settings.
    1. For Attendance Statuses for Subject Compliance, select the participant’s attendance status for past events that makes them eligible for a subject compliance check.
    2. For Participant Subject Compliance Check Actions, specify the action to take if a participant fails the subject compliance check. The options you can choose from are Block, Warn, and None.
    3. For Write-In Participant Subject Compliance Check Actions, specify the action to take if a participant fails the subject compliance check. The options you can choose from are Block, Warn, and None.
    4. For Write-In Participant Restricted Product Check Actions, specify the action to take if a write-in participant is associated with a product that is restricted for the event. The options you can choose from are Block, Warn, and None. If you leave this field blank, the system uses the default Warn value.
    5. For Managed Event Colleague Restricted Roles, select the participant roles that a colleague is restricted from being assigned to.
    6. For Attendance History Subject Conflict Check in Days, enter the number of retrospective days that the system must scan for a subject conflict in the participant’s attendance history.
  7. Configure allocation settings.
    1. For Expense Allocation Eligible Participant Types, select the participant types who are eligible for allocation of expenses. The selected participant types appear while allocating expenses.
    2. For Estimated Expense Allocation Invitation Status, select the values that indicate that estimated expenses are allocated to the invited participant.
    3. For Actual Expense Allocation Attendance Status, select the values that indicate that actual expenses are allocated to the participants.
  8. Configure quota settings.
    1. For Colleague Invitation Quota Exempt Status, select the participant’s response status values that represent that the participant is excluded from the colleague’s invitation quota.
  9. Configure search settings for adding attendees.
    1. For New Attendees Display Field Set, select the field set in the Account object that represents the fields displayed as columns in the Update Attendee window’s search results.
    2. For New Attendees Search Field Set, select the field set in the Account object that consists of fields to search for at the time of adding an attendee to an event.
    3. To help users add attendees in bulk, select Show the Add All button in the New Attendees modal.
    4. To help users conduct detailed searches beyond the standard keyword search, select Enable Advanced Search to find accounts to invite.
    5. To view the hierarchical relationship between healthcare professionals and healthcare organizations in the Add Attendees modal, select Show HCP-HCO affiliation for attendees.
    6. To use advanced filtering conditions in Event Management, select Enable lists and filters in the New Attendee modal.
  10. Configure search settings for adding event experts.
    1. For New Experts Display Field Set, select the field set in the Expert object that consists of fields that are available as filter options, and are displayed at the time of adding experts.
    2. For New Experts Search Field Set, select the field set in the Expert object that consists of fields that appear in expert search.
    3. To help users find participants via account search instead of searching for experts, select Enable the Add Experts Via Account Search button in the New Experts modal.
    4. To check whether a participant has attended an event on the same subject in the recent past before adding them, select Enable subject compliance check before adding participants.
  11. Configure search settings for adding event colleagues.
    1. For New Colleagues Display Field Set, select the field set in the User Additional Info object that consists of fields that are available as filter options, and are displayed at the time of adding colleagues.
    2. For New Colleagues Search Field Set, select the field set in the User Additional Info object that consists of fields that are available as filter options, and are displayed at the time of searching for colleagues to add to an event.
    3. To provide users with the flexibility to remove system-generated filters that show only those colleagues whose country matches the current user’s, select Toggle the system-generated Preferred Country filter.
  12. Configure search settings for the event’s expenses.
    1. For Expense Type Display Field Set, select the field set in the Expense Type object that contains the fields that are available as filter options and are displayed while adding an estimated or actual expense.
    2. For Expense Type Search Field Set, select the field set in the Expense Type object that contains the fields that are displayed while searching for expenses to be added to an event.
    3. To provide users with the flexibility to remove system-generated filters that only show expense types that match the event’s type and subtype at the time of expense search, select Toggle the system-generated expense type filter.
    4. To enable users to allocate a portion of the expense amount to the event participants rather than the whole amount, select Allow partial expense allocation.
  13. Configure search settings for the event’s subject.
    1. For Subject Display Field Set, select the field set in the Subject object that contains the fields that are available as filter options and are displayed while adding a subject to an event.
    2. For Subject Search Field Set, select the field set in the Subject object that contains the fields that are displayed while searching for subjects to add to an event.
    3. To provide users with the flexibility to remove the system-generated filter that only shows subjects whose dates overlap with or fall within the event's date range, select Toggle the system-generated subject filter.
  14. Configure eligibility settings for the event’s expert.
    1. For Expert Subject Training API Name, enter the API name of the custom Boolean field in the Expert Subject object that indicates that the expert has completed a valid training for the subject.
    2. For Subject Compliance External ID List, enter the API name of the field in the Subject object that stores the semicolon-separated list of the external IDs of compliance subjects.
    3. To enable users to only add experts who have completed the required training for a subject, select Check eligibility for subject presentation.
    4. Save your changes.
