          Event Management Glossary of Terms

          To familiarize yourself with the industry-standard nomenclature that’s commonly used in Event Management refer to the comprehensive list of terms used across the feature.

          Required Editions

          Term Definition
          Activity Plan A record that organizes and tracks financial goals, spending limits, and activities for a defined time period. Activity plans of type Event Management Limit are used to enforce monetary caps across managed events.
          Actual Expenses The real costs incurred for an event, recorded after the event takes place. Actual expenses are allocated to participants and reported for compliance and transparency purposes.
          Attendee A healthcare professional (HCP) or account-based participant who is formally invited to and attends a managed event. Attendees are searched and added via the Update Attendees window.
          Attendee Quota A configurable limit that restricts the number of participants a colleague with the contributor role can invite to an event. When the quota is exceeded on mobile, a Managed Event Participant Discrepancy record is created.
          Business Hours The configured working hours of an organization. Managed events must be scheduled within defined business hours, enforced by the MngEventBusinessHoursHandler trigger handler.
          Colleague An internal user (such as a sales representative) who is added to a managed event as a participant. Colleagues are looked up via User Additional Info records and can hold roles such as organizer, coorganizer, coordinator, or contributor.
          Committed Expenses Expenses that have been formally approved for one or more activities but not yet spent. Committed expenses factor into the total expense calculation when a managed event is still in progress.
          Compliance Agreement Status A field on the Managed Event record that reflects whether all mandatory compliance statements have been accepted by the organizer. The status remains “Agreement Required” until all mandatory statements are accepted, after which it changes to “Agreed.”
          Compliance Statement A regulatory policy statement embedded in the managed event workflow that requires acknowledgement from the event organizer or coorganizer before the event can proceed. Statements can be of type Compliance Note or Compliance Agreement.
          Compliance Statement Definition A configuration record that defines the text, type, requirement level (mandatory or optional), and display order of a compliance statement. Only records with statement text filled in and the correct module and statement types are displayed in the Compliance Statements component.
          Estimated Expenses The projected amount of money expected to be spent for one or more activities in a managed event. Entered during the planning phase and used to calculate total event expenditure before actuals are available.
          Event Execution The active phase of a managed event during which the organizer captures attendee sign-ins, adds write-in participants, launches presentations, and administers surveys.
          Event Logistics The resources, venues, catering, equipment, and other supplies that facilitate the smooth running of a managed event. Managed using Managed Event Resource and Managed Event Resource Preference records.
          Event Management An Agentforce Life Sciences Cloud solution that provides a comprehensive framework for planning, approving, executing, and concluding field events, while supporting compliance and regulatory governance.
          Event Management Participant Role A record that assigns a custom name to a standard participant role (such as, organizer, coorganizer, coordinator, contributor, approver, attendee, expert). Custom roles are mapped to standard roles to control access and actions in the event workflow.
          Event Management Participant Type A record that assigns a custom name to a standard participant category (such as, expert, colleague, attendee, non-profiled attendee, write-in attendee). It allows organizations to define custom categories aligned to their business needs.
          Event Management Participant Type Role Mapping A junction record that links an Event Management Participant Type, an Event Management Participant Role, and a Managed Event Type. It determines which participant roles are available for a given participant type within a specific event type.
          Expense A financial record associated with a managed event that tracks the cost of an activity, such as catering, venue fees, or speaker fees. Expenses can be classified as estimated or actual.
          Expense Allocation The process of distributing actual expense costs among the participants of a managed event. Allocation can be even (split equally) or uneven (manually assigned individual amounts).
          Expense Participant A record that links a specific expense to a managed event participant. It captures the portion of the actual expense allocated to that participant and is used in monetary cap calculations.
          Expense Type A classification record that defines a category of expense (such as, food and beverage, venue, audio-visual). Expense types have a classification (estimated or actual) and an Included in Cap flag that determines whether they count toward monetary cap calculations.
          Expert A healthcare professional contracted by a life sciences company to present at managed events. Experts are linked to Subject records via Expert Subject records to confirm their eligibility and training for a given topic.
          Expert Subject A record that associates an Expert with a Subject, confirming the expert’s training and eligibility to present on that topic. The record must be active during the dates of the managed event for the expert to be eligible.
          Field Event A preplanned, regulated interaction between a life sciences company’s representatives and healthcare professionals (HCPs) that takes place outside the company’s home office. Includes speaker programs, rep-led meetings, and HCP sponsorships.
          HCO (Healthcare Organization) A healthcare institution such as a hospital or clinic. In Event Management, an HCO can serve as the location (resource type) for a managed event.
          HCP (Healthcare Professional) A licensed healthcare practitioner, such as a physician or nurse, who participates in managed events as an attendee, speaker, or other participant type.
          HCP Sponsorship Event A type of managed event in which a pharma company provides financial support for an HCP to attend a third-party event (for example, a medical congress) that the company does not organize or control. Requires compliance review, approvals, and transparency reporting.
          Key Opinion Leader (KOL) An influential healthcare professional who presents expert insights on drug efficacy or disease management to peer HCPs at company-sponsored events. KOLs are typically contracted as Speakers.
          Life Science Email Template A template record (comprising a Life Science Email Template and its associated snapshot) used to configure and send email invitations and notifications to managed event participants.
          Managed Event The central record in Event Management representing a field event. It captures the event’s name, dates, type, status, participants, expenses, and compliance information. The Status field drives progression through the workflow path.
          Managed Event Participant A record that represents an individual’s participation in a managed event. It stores the participant’s type, role, invitation response, attendance status, and other participation details.
          Managed Event Participant Discrepancy A record created to log exceptions or warnings associated with a participant’s addition to an event. Examples include monetary cap exceedances on mobile, subject compliance violations with a Warn action, and attendee quota exceedances.
          Managed Event Product A record that links a product to a managed event. These records are automatically created and reconciled based on the Subject Product records associated with the subjects assigned to the event.
          Managed Event Resource A record that captures the primary logistical resource for an event, such as a venue, catering service, or audio-visual equipment. The first confirmed Venue or HCO resource automatically stamps the event’s location.
          Managed Event Resource Preference A child record of a Managed Event Resource that represents ranked alternative options for a resource. For example, for a venue resource, preferences might list Hotel A (rank 1) and Hotel B (rank 2).Users can select a Managed Event Resource Preference record as the event location by confirming its status.
          Managed Event Territory A record created when a participant with an organizer, coorganizer, or coordinator role accepts an invitation. It links the event to the user’s active territory and triggers territory-based record sharing.
          Managed Event Type A configuration record that defines the template and category for a managed event (for example, speaker meeting, rep-led meeting, HCP sponsorship). It is the basis for participant type role mappings and workflow configurations.
          Monetary Cap An account-level spending limit that tracks estimated, committed, actual, and total expenses for a healthcare provider across all managed events. Caps can be configured with Block (error) or Warn alert types.
          Non-Profiled Attendee A participant who attends a managed event but is not profiled as a standard account or contact in Salesforce. Non-profiled attendees are linked to Party Profile records.
          Organizer The primary participant role that’s assigned to the person who creates and manages a managed event. The organizer can add participants, accept compliance statements, and drive the event through the workflow stages.
          Participant Recruitment The process of adding participants to a managed event. When an event is created, the system automatically adds the current user as the organizer and creates the corresponding Managed Event Participant records.
          Party Profile An intermediate, non-profiled record in Salesforce that represents an individual who has not yet been fully profiled as a standard account or contact. Used for write-in and non-profiled attendees.
          Presentation Forum A record associated with event presentations within the Event Management solution.
          Provider Activity Goal A record that tracks spending goals and allowances for a healthcare provider account. Associated with an Activity Plan and used to calculate and enforce monetary caps.
          Provider Activity Goal Limit A record that sets the maximum monetary spending amount for an account across all managed events within an activity plan’s time period.
          Provider Activity Goal Measure A record that measures and tracks the utilization (estimated, committed, actual, and total expenses) against a provider activity goal. Cap data is stored as JSON in the AdditionalInformation field.
          Provider Activity Measure Type A configuration record that defines the conditions and alert type (error or warn) for monetary cap calculations. Specifies the criteria JSON used to determine when expenses are included in cap utilization.
          Rep-Led Event A type of managed event hosted by a company and led directly by a sales representative, without a paid external speaker. May include meals or other items requiring transfer-of-value reporting.
          Restricted Party An account or contact flagged as ineligible to participate in certain events due to a product-account restriction. Adding the associated healthcare provider as a participant is blocked or warned depending on the event’s start date.
          Sign-In Sheet An electronic form launched on the day of the event to capture attendee signatures, attendance confirmation, and meal preferences. Essential for compliance reporting and transfer-of-value tracking.
          Speaker An expert or key opinion leader (KOL) who delivers approved educational or promotional content at a managed event. Speakers are contracted by the pharma company and must have valid training records for the event’s subject.
          Speaker Bureau A compliance type assigned to subjects that require strict expert eligibility and subject compliance validation. When a subject with this type is assigned to an event, the system enforces expert training checks and attendance history checks.
          Speaker Event A company-hosted event where an HCP contracted as a speaker delivers approved educational or promotional content to other HCPs. Requires formal approvals, speaker contracts, attendance capture, and post-event reconciliation.
          Subject A topic that a speaker presents at a managed event. Subject records define the content theme of an event and are linked to products, experts, and email or presentation templates. Only subjects with a usage type of Managed Event can be assigned to an event.
          Subject Assignment A record that links a specific Subject to a Managed Event. When a subject is assigned, the system automatically creates related Managed Event Product records for the associated products.
          Subject Compliance Check A verification process that determines whether a participant is eligible to be added to a managed event based on their recent attendance history — confirming they haven’t attended another event on the same subject within a configured number of past days.
          Subject Material Template A junction record that associates a managed event subject with an email template or presentation.
          Subject Product A record that links a product to a Subject. Subject Product records determine the valid product set for a managed event and are used to reconcile Managed Event Product records.
          Territory A geographic or organizational region used to align accounts, users, and events for sharing and access control. Territory membership determines which records users can view and interact with in Event Management.
          Time Period A record that defines the date range within which an activity plan is active. Managed event start and end dates must fall within the associated activity plan’s time period for monetary cap calculations to apply.
          Transfer of Value (TOV) Any item of monetary value provided to an HCP at or in connection with an event, such as a meal, speaker fee, or sponsorship payment. TOVs must be tracked and reported for regulatory transparency and compliance.
          User Additional Info A supplemental Salesforce record that stores additional profile details for internal users, such as preferred country. Required for users to appear in colleague search results in Event Management.
          Utilization Tracker A Lightning App Builder component added to the Account record page that displays all active monetary caps and their utilization levels for that account.
          Workflow Path A configured sequence of stages, stage operations, and actions that defines the full lifecycle of a managed event — from draft through pending approval, approved, execution, and conclusion. Controls which roles can perform which actions at each stage.
          Write-In Attendee A participant who attends a managed event on an ad hoc basis without a prior invitation. Automatically converted to an attendee (if linked to an account) or non-profiled attendee (if linked to a party profile), based on the participant party reconciliation status.
