Set Up an Event
Draft an event plan, along with its associated records, such as compliance requirements, subject assignment rules, and event resources.

Create a Managed Event
Create a managed event from the Managed Events tab or directly from your calendar.
When users create the managed event, the compliance statements get added to the event automatically. Only the organizer and coordinator of an event can select the compliance statements added to the event.

Create a managed event.
- From the iPad's homepage, go to the Managed Event tab in the top scroll bar, and tap New.
- Enter the event name.
- Select a managed event type, such as a speaker event.
- Add the start and end dates of the event.
- Select the managed event status, such as, Draft.

Select yourself as the primary owner.
If your admin selects Include manager as event approver in the org-wide admin console settings, your manager is automatically added as the approver of the event. If the setting is turned off, your manager is added as the coordinator for the event.
- Save your changes.

Alternatively, create managed events from the calendar. Make sure that the event is within
the business hours of the organization.
- From the homepage of your mobile device, go to the Planner tab in the top scroll bar.

In the top-right corner of the calendar, click
, and then select Managed Events.
Alternatively, tap a time slot in the calendar to create the event. - Enter a name for the event.
- Select a managed event type.

Select the start and end times for the event.
The start and end times are preselected for you if you’re creating the event from the calendar timeslot. This setting calculates the event end time based on the value defined in the Default Managed Event Duration in Minutes field in the profile-level admin console settings.
- Select a status.
- Save your changes.
Accept Compliance Statements
Review and accept the compliance statements added to your event before proceeding.
- From the Managed Event tab in your iPad, select the record for which you want to acknowledge the compliance statements.
- In the Compliance Statements section, select the checkboxes that require your acknowledgment.
Assign a Subject to the Event
You can search for and filter the Subject records by using specific Subject fields, defined by your admin in the admin console. The product gets auto-assigned based on the subjects or topics assigned to an event.
- On your iPad, go to the Related tab of the Managed Event record for which you want to add a subject.
- In the Subject Assignment section, tap New.

Enter a name for the record.
The Assignment field is automatically populated with the managed event's name.
- For Subject, in the search bar, enter keywords for the subject you want to assign to an event.
- To refine your search, tap Advanced Search.
- To filter the search results, tap Filters.

Select the field and the corresponding value that you want to filter the results
with.
For example, in Field, select Compliance Type. In Operator, select In. In Value, select Speaker Bureau. This configuration filters the Subject records to show only the records whose compliance type is Speaker Bureau.
- Tap Save.
- Tap the record you want to assign as the event’s subject.
- Save your changes.
Create a Managed Event Resource
Capture information about the primary choice for a logistics provider, such as a venue, technical equipment, catering services, and supplies needed for the event.
Only resource types that represent the venue and the healthcare (HCO) require location and address information. For resource types like catering services or refreshments, adding location and address information is optional.
The first time a venue or HCO resource is confirmed, the location is stamped onto the Managed Event record.
- On your iPad, go to the Logistics tab of the Managed Event record for which you want to add a resource.
- In the Managed Event Resources section, tap New.
- Add a name for the event resource.
- Select a resource type, such as venue or HCO.

To add a venue, do the following steps in the Location and Address section.
- In the Selected Location field, tap to select a record for the Account object.
- In the Selected Address field, tap to select a record for the Address object.

Alternatively, to add an HCO resource type, do the following steps in the Location and
Address section.
- In the Selected Location field, tap the dropdown to select Location, and then select a corresponding Location record.
- In the Selected Address field, tap the dropdown to select Contact Point Address, and then select a corresponding Contact Point Address record.
- Save your changes.
Create a Managed Event Resource Preference
Provide users with the flexibility to choose from a variety of resource options. Configure managed event resource preferences to present options to the user. Associate the managed event resource preference with the parent managed event resource to indicate which resource type the options are for.
- On your iPad, from the Logistics tab of the Managed Event record, tap the Managed Event Resource record.
- Go to the Managed Event Resource record's Related tab.
- In the Managed Event Resource Preference section, tap New.
- Add a name for the resource preference.
- If needed, add the rank of preference.
- In Requested Resource, select the ID of the related resource.

To add a venue, do the following steps in the Location and Address section.
- In the Selected Location field, tap to select a record for the Account object.
- In the Selected Address field, tap to select a record for the Address object.

Alternatively, to add an HCO resource type, do the following steps in the Location and
Address section.
- In the Selected Location field, tap the dropdown to select Location, and then select a corresponding Location record.
- In the Selected Address field, tap the dropdown to select Contact Point Address, and then select a corresponding Contact Point Address record.
- Save your changes.
