            Configure Flexible Stage Progressions using Stage Definition Assignment and Stage Assignment Rule Criteria

            Assign different stage definitions to the same object and record type based on rule-based conditions by using stage definition assignments. Customize stages dynamically, tailored to each record’s context. Instead of applying a static set of stages to all records of an object, configure multiple stage journeys and automatically apply the most relevant one using stage assignment criteria.

            Benefits of using Stage Definition Assignments

            • Apply different stage definitions to records of the same object such as job applications, service requests, project tasks, or any custom object with a defined lifecycle.
            • Dynamically assign stages based on field values, record type, or any custom logic. Simplify and scale your stage configurations without duplicating objects, record types, or layouts.
            • Align lifecycle tracking more closely with your business processes, user roles, or categories of work.

            Here is an example of how you can configure flexible stage progressions using stage definition assignment and stage assignment rule criteria:

            Consider the scenario where you want job applicants to follow different hiring journeys based on the type of role they apply for. Technical roles include more evaluation steps, while non-technical roles follow a simpler process. Use stage definition assignments to automatically assign the appropriate stage definition based on the role type.

            Create two stage definitions, one for technical hiring and one for non-technical hiring. The technical hiring stage definition includes stages such as coding tests and technical interviews. The non-technical hiring stage definition includes fewer stages. Create a stage definition assignment for the job application object and set the non-technical hiring definition as the default. Add a stage assignment rule criteria that assigns the technical hiring definition when the role type field equals technical.

            When a job application record gets created or updated, stage management evaluates the record against the rule criteria. If the condition matches, the technical hiring stage definition is applied. Else, the default non-technical hiring definition is applied. Each applicant moves through the correct hiring process without manual intervention or the need for multiple record types.
