KPIs with # as the measure code are written back based on the status of the claim. For example, a write-back KPI with measure code ABC# writes back measures under the code ABCO for open claims, but writes back measures under the code ABCC for closed claims.
Claims don't always correspond to the KPI calculation time frame. Typically, the calculation time frame of a claim is the tactic time frame, but the reference date of the claim is outside of the tactic timeframe. To ensure that the claims related to the tactic aren’t missed, the system reads and shows the values that are outside the time frame in the Promotion P&L.
If the value belongs to the week or month that’s before the promotion or tactic time frame, then the value is added to the first week or month of the promotion or tactic time frame. If the value belongs to the week or month that’s after the promotion or tactic time frame, then the value is added to the last week or month of the promotion or tactic time frame.
Each promotion week or month can include multiple sub periods. Here’s how the funds are distributed:
- When a week or month is partially in the calculation time frame, the week value is distributed to the sub periods of the same week or month included in the time frame. The distribution is done proportionately by using weekday shares.
- When a week or month is completely outside the calculation time frame or when the total shares for the sub periods aren't found, the values outside the time frame are added to the first or last sub period of the promotion or tactic time frame.
Here are the time frames of a promotion.

- Here’s the configuration of a Read KPI:
- Aggregation Rule: Sum
- Total Calculation Rule: Sum
- Merge Rule: Sum
- Object Scope: Promotion
- Time Scope: Shipment
The promotion shipment time frame starts from the third day of Week 1 and ends on the last day of Week 2. The values of Week 1 and Week 2 are 100 each. Here’s the calculation of sub period values within the promotion weeks.

- Each sub period value within a promotion is calculated as: (Sub period share % / Total share % of the promotion sub period within the current week) × Week value.
- For Week 1, the week value of 100 is fully distributed into sub period 2 and sub period 3 that are within the promotion shipment time frame. So, sub period 2 is calculated as: 20 / (20+40) × 100 = 33.33. And, sub period 3 is calculated as: 40 / (20+40) × 100 = 66.67.
- For Week 2, as all the sub periods are within the promotion shipment time frame, the week value of 100 is distributed into all the three sub periods of Week 2. So, sub period 1 is calculated as: 40 / (40+20+40) × 100 = 40. And, sub period 2 and sub period 3 are calculated as 20 and 40 respectively.
- When a week or month is completely outside the promotion or tactic timeframe
- Here’s a configuration for a Read KPI:
- Aggregation Rule: Sum
- Total Calculation Rule: Sum
- Merge Rule: Sum
- Object Scope: Promotion Tactic
- Time Scope: Instore
The Tactic Instore time frame is completely within Week 3. The values of Week 3 and Week 4 are 100 each. Here’s the calculation of sub period values within the promotion week.

- Each sub period value within a promotion is calculated as: (Sub period share % / Total share % of the promotion sub periods within the current week) × Week value.
- For Week 3, as all sub periods are within the tactic Instore time frame, the week value of 100 is distributed among all three sub periods of Week 3. Sub period 1 is calculated as: 40 / (40+20+40) × 100 = 40. And, sub period 2 and sub period 3 are calculated as 20 and 40, respectively.
- For Week 4, as the week is completely outside the Instore time frame, the week value of 100 is added to the last sub period of Week 3. So, the sub period 3 value is 140. The value for Week 3 becomes 200 (40+20+140).
The table shows the values after calculation.

Note- In the Promotion P&L, the total value at the product level is calculated by applying the total calculation rule of the KPI to the weekly values. And the total values at the higher levels of the hierarchy are calculated by applying the aggregation rule of the KPI to the total values at lower levels.
- If the value belongs to a product that's not a part of the promotion, the value is still considered for calculation. The product is shown in the Promotion P&L and in the Product grid.
- When a custom calendar is activated, the values are calculated and shown for custom periods instead of weeks.
