Configure Process Attributes and Products

Define the information that a service process collects from requestors and the products available for selection. Organize attributes and product collections on pages in the request intake form.

Required Editions

Define Attributes

Add process type attributes, context definition attributes, or custom attributes to collect request information through the intake form. Organize attributes on one or more pages and configure how requestors and fulfillers can edit submitted values.

  1. Access the Attributes & Products page.
    • Immediately after you create a service process, the Attributes & Products page opens.
    • To configure an existing service process, open it from the Service Processes tab.
  2. On the canvas, enter a name for the attribute page, and then click New Attribute.
    The Add Attributes page opens.
  3. Select the process type attributes to include in the intake form.
  4. To add context definition attributes, select the Context Definition Attributes tab.
    1. In the Context Definition field, select a context definition.
    2. Select all the attributes that you want to include in the intake form.
      Note
      Note To see context definition attributes, first create context definitions and associate them with Unified Catalog.
  5. To add a custom attribute, select the New Custom Attribute tab.
    1. Enter a name and description for the attribute.
    2. Select a data type and enter the applicable values.
      Available fields depend on the selected data type. Data types include Lookup, List of Attachments, Email, Multi-select values, Time, Range, Radio button, URL, and Telephone.
  6. In the Display Width field, select the width of the attribute’s entry field on the generated intake form.
  7. Configure any other settings for the attribute.
  8. To make the attribute editable after submission, select Allow editing after submission, and then configure these settings:
    • Applicable Statuses: Select the statuses during which the attribute can be edited. Select New, In Progress, or both.
    • Edit Access: Select who can edit the attribute value. You can select Requestor, Fulfiller, or both.
  9. Click Next to save the attributes and return to the canvas.
  10. To edit an attribute:
    1. From the attribute’s Settings menu, select Edit.
    2. Make your changes, and then save the attribute.
  11. To delete an attribute, select Delete from the attribute’s Settings menu.
    You can’t delete required attributes.
  12. To add another attribute page, click +Add.
    1. On the New page, specify the required details.
    2. Select the Define Attributes content type, and then click Save.
  13. Repeat the page-creation steps for each attribute page that you want to add.
    Note
    Note You can delete a page only after you delete the associated attributes and products.

Define Product Collections

Group related products into collections that requestors can select from the intake form. For each collection, specify how many products a requestor can select.

  1. On the Attributes & Products page, click +Add.
  2. On the New page, specify the required details.
  3. Select the Define Product Collections content type and click Save.
    The Product Collection page is added to the canvas after the attribute pages.
  4. Click Add Collection.
  5. Enter a name and description for the collection.
  6. In the Number of Products field, enter the minimum and maximum number of products that a requestor can select.
  7. Search for and select the products to include, and then click Add.
    The product collection appears on the canvas.
  8. Repeat these steps for each product collection that you want to add.
    Note
    Note A service process supports only one product collection page.
  9. Save the service process as a draft, or click Next to design the request intake form.
    Note
    Note Products from an earlier service-process version remain on the canvas even when they aren’t linked to a page. Save the service process to preserve the collection and its items.
