Creating an Embedded Template Section in Document Template Designer

Creating an Embedded Template Section in Document Template Designer

Embedded templates are useful when creating product-specific terms and conditions. You can create a Vlocity Web Template to use within another Vlocity Web Template. The template that contains the embedded template is the parent template.

For example, you can create a template for each product and then embed the appropriate Product templates as document sections in a parent template. You can define conditions in embedded templates, or define conditions under which an embedded template appears.

You cannot edit embedded templates in the parent template.

To create a context section:

  1. In the Document Template Designer, in a contract document template, click Add New Section.

  2. Click Embedded Template.

  3. Search for and select the template to embed.
  4. Enter the section Name.
  5. Select one or more of the following Section Properties:
    • To prevent users without the appropriate access from editing the section, select Restricted.

    • To start a new page when this section appears in the contract, select New Page.

    • To include the section name as a heading, select Display Section Name.

    • To repeat any table headers when they span multiple pages, select Repeat Table Header in Word.

  6. Select one or more of the following Section Numbering options:
    • To use numbered headings, select Auto Number.

    • To reset the numbering when this section appears in the contract, select Reset Auto Number.

    • To uniquely identify each section key for tokens and prevent errors, select Auto-Add Section Key. If you select it and then clear the check box, you must refresh tokens in the Omnistudio Data Mapper, or you will receive errors. This section key is generated for an Embedded Template section in order to identify uniquely each token extracted from the embedded template.

Selecting the Auto-Add Section Key Checkbox

To decide whether you need to generate unique section keys, you need to know whether you have duplicate token names and their definitions in the embedded templates. For example, let's say you have two separate templates with the token name of CustomerName. If those tokens have different definitions and you embed both of these templates into one template, select the Auto-Add Section Key checkbox. However, if that CustomerName token has the same definition for both templates, you do not need to select the Auto-Add Section Key checkbox. That way, you do not need to define the mapping more than once in the Data Mapper and you improve the performance time of document generation.

      Note
      Note

Tokens defined in embedded templates can be extracted into the transform Data Mapper of the parent template. Using the transform Data Mapper of the outer template for all transformations improves performance.

  7. To include this section only if one or more specific products are present, see Conditionalizing a Section Using Product Lists.
  8. To include this section based on more advanced conditions, see Conditionalizing a Section Using Entity Filters.
  9. Click Save Section.
