Dynamic From and Reply Addresses
Dynamic From and reply addresses personalize an email's sender and reply information with related CRM or Data 360 records.
Instead of using one mailbox for every email, you can configure Marketing Cloud Next to resolve the From address, reply address, and display name from related data.
You can source a dynamic email address in two ways:
- From an associated user: Select an email address that belongs to a related user, such as a contact owner, account manager, or customer success manager. Subscribers see and can reply to a specific person.
- From a custom field: Select an email address stored in a custom field. The address can represent a brand, publication, or region instead of an individual person or inbox.
You can configure the From address, the reply address, or both to use dynamic values. Dynamic from and reply addresses include these capabilities:
- Sender identity: Personalize the display name and the From address that subscribers see.
- Reply routing: Send replies directly to a resolved mailbox, or route them through Reply Mail Management (RMM).
- Data sourcing: Resolve sender and reply values from CRM data or from a data graph.
- Fallback values: Use a verified, authenticated address when a dynamic value doesn't resolve.
How you configure the From address depends on how your organization authenticates its sending domain. Use this table to choose the approach that matches your setup.
| Scenario 1 | Scenario 2 | |
|---|---|---|
| Use when | You send from an authenticated subdomain | You authenticate your root domain |
| From address | Static authenticated address | Dynamic address resolved from a record |
| Display name | Dynamic | Dynamic |
| Reply address | Dynamic (direct reply) | Dynamic (direct reply) |
| Example data source | Contact owner, or a custom field | Contact owner, or a custom field |
| Fallback | Authenticated From address and fallback reply address | Authenticated From address and fallback reply address |
How Dynamic From and Reply Addresses Work
When Marketing Cloud Nextsends an email, it resolves merge field expressions configured in the From and reply addresses and inserts the resulting values into the email header.
The resolved values can include the sender's display name and email address.
Your From address option depends on how your organization authenticates its sending domain.
- Static From address: The email is sent from a fixed authenticated address while you personalize only the display name. Use this option when your organization sends from a subdomain, because using a personal address on the root domain can cause DMARC alignment failures.
- Dynamic From address: Marketing Cloud Next resolves the From address from a CRM or Data 360 record, such as a contact owner's email. Use this option when your organization authenticates its root domain, so that personal addresses align with the authenticated sending domain.
Dynamic reply address requires an authorized email domain. Before using a resolved reply address, Marketing Cloud Next validates its domain against your list of authorized email domains. If the domain isn't authorized, Marketing Cloud Next uses the fallback address.
Reply Management
You can route replies in one of these ways:
- Direct reply: Marketing Cloud Next sends replies directly to the resolved mailbox, such as the sender's personal inbox, and bypasses Reply Mail Management (RMM) processing.
- RMM routing: Marketing Cloud Next routes replies through RMM, which can forward them to conversational agents, shared inboxes, or other Sales Cloud and Service Cloud routing rules.
Data Sourcing
Marketing Cloud Next resolves sender and reply values from one of these sources:
- CRM data: Standard or custom objects and fields, including contacts, leads, and accounts.
- Data 360 data graph: Data from a unified individual, used to personalize sender and reply information.
Fallback Mechanism
If a dynamic value is missing or empty when Marketing Cloud Next sends an email, it uses the fallback values that you configured. Configure a verified, authenticated address as the fallback for every campaign to maintain deliverability.
Prerequisites
Before you configure dynamic From and reply addresses, set up the domains that personalized emails and replies depend on.
- Authenticated domains: Required to send personalized emails. Admins set up the domains (root or subdomain) used for personalized campaigns.
- Authorized email domains: Required to route direct replies safely. Admins verify these domains so that subscriber replies are delivered to valid organizational mailboxes.
- Configure Dynamic From Addresses
A Dynamic From Address personalizes the sender information recipients see, using CRM data resolved at send time. - Configure Dynamic Reply Addresses
A dynamic reply address routes replies directly to a mailbox resolved from CRM data, such as the contact owner or the account's customer success manager.
