          Set Up Email Archiving in Unified Messaging

          Save copies of all sent emails for regulatory, legal, and auditing compliance. Email archives are stored in the standard Email Message object. To minimize Salesforce storage costs and export archived emails, use the Archive app.

          Set Up Salesforce Archive App

          Before you turn on archiving, set up the Salesforce Archive app and create an archive policy for email archiving. For more information, contact your account executive.

          Considerations for Email Archiving

          Review these limits and considerations for archiving emails.

          • You can archive up to 100,000 emails per day.
          • Email files over 131 KB get truncated.
          • Email attachments aren’t supported. The HTML body is stored, but attachment IDs aren’t included in the Email Message object.

          Verify Custom Fields in the Email Message Object

          Email archiving doesn’t support the option to include metadata for required custom fields. Before you turn on archiving, make sure that the Email Message object doesn’t have any custom fields set as required.

          1. From Setup, in the Quick Find box, enter Object Manager, and then select Object Manager. Next, click Email Message, and then scroll to the Fields & Relationships section.
          2. If the object has a custom field, click the field’s name, then click Edit.
          3. Verify that the Always require a value in this field in order to save a record checkbox isn’t selected.
            If custom fields are set as required, you can’t use email archiving.

          Turn On Email Archiving

          1. From Setup, in the Quick Find box, enter Email Archiving, and then select Email Archiving.
          2. Confirm that you’ve verified all requirements for email archiving.
          3. Turn on Email Archiving.
          4. Select whether users can select which emails require archiving.
            After you turn on email archiving, the Archive Emails option is enabled by default in the Send Email Message flow element.

            If you turn on user control for archiving for specific sends, marketers can turn off archiving in the flow for specific sends. However, after it's turned off, marketers can’t archive the emails from the related campaign later. See Send Email Message Marketing Flow Element.

          To view and export archived emails, set up an archive policy in the Archive app.
