This feature is a workspace that’s external to your Salesforce org and requires an Agentforce Operations license. To purchase an Agentforce Operations license, contact your Salesforce account executive. |
When you're assigned to a task, you receive an email notification with the task details and buttons to complete it. You can complete most tasks without leaving your inbox by clicking action buttons or filling in a web form. For more complex work or when you need the full workflow context, complete tasks directly in the Agentforce Operations workspace.
How You Complete Tasks
Agentforce Operations gives you multiple ways to complete tasks depending on your preference and the complexity of the work:
- In the Workspace: Log in to Agentforce Operations and complete tasks from the Tasks page or from the workflow view. You see the full workflow context, can add comments and attachments, and access all task details in one place.
- By Email: Reply to the task notification email or click action buttons directly in the email. For tasks that request field values, you're directed to a web form.
- Via Web Form: Click the Complete button in the task email to open a web form where you can fill in requested fields and complete the task. External users complete tasks this way without needing to log in.
To learn how to complete tasks in the workspace, see Complete a Task in Agentforce Operations. To learn about completing tasks by email, see Work with Tasks Through Email in Agentforce Operations.
Task Types and Completion
Different task types have different completion methods:
- Standard Task: Fill in any requested fields, add comments or attachments if needed, and click Complete. If the task has no fields, you can complete it directly from the email.
- Approval Task: Review the information provided and click Approve or Reject. If the task requires comments on rejection, you must provide them before rejecting. Approval tasks can be completed from email or in the workspace.
- Email Notification Task: These tasks complete automatically after sending. No action is required from you.
- AI Agent Task: AI agents complete these tasks automatically. If a human co-assignee is configured, you can review and complete the task after the agent finishes or if the agent encounters an error.
Using Task List Views
The Tasks page in Agentforce Operations shows all your assigned tasks and provides list views to help you focus on what needs your attention:
- Assigned to me: All tasks assigned to you, including tasks assigned through a team you're a member of.
- Assigned directly to me: Only tasks assigned specifically to your username, not through a team.
- Overdue: Tasks past their due date that need immediate attention.
- Due soon: Tasks approaching their due date.
- Awaiting my approval: Approval tasks where you're the assignee.
Use these views to prioritize your work and make sure nothing falls through the cracks. To learn more, see Complete Multiple Tasks at a Time in Agentforce Operations.
External Users
External users, such as suppliers and partners, can complete tasks without logging in to Agentforce Operations. They receive task notification emails with buttons to open web forms where they can fill in requested information and complete their work. External users can also be granted workspace access if they need to collaborate more closely with your team.
To learn more about working with external users, see Collaborating with External Partners in Agentforce Operations.
What Happens After You Complete a Task
When you complete a task:
- Agentforce Operations marks the task as complete and locks it from further editing.
- Any information you provided in requested fields becomes available to downstream tasks in the workflow.
- The next task in the workflow activates automatically based on its start condition.
- The workflow owner and any CC recipients receive notifications about the task completion.
- Your completed task shows in the workflow activity feed with a timestamp and your name.
Managing Tasks in Bulk and Troubleshooting
When you need to update multiple tasks at once, use bulk edit to change assignees, CC recipients, or due dates across several tasks simultaneously. To learn more, see Bulk Edit Tasks in Agentforce Operations.
To locate all tasks assigned to a particular person, filter the workflow list or task views by assignee. This helps managers check on workloads or reassign work. To learn more, see Find Tasks Assigned to a Specific User in Agentforce Operations.
If a task has an issue that prevents completion, flag it as a problem so the workflow owner and stakeholders are notified. Reporting a problem changes the workflow status to Problem. To learn more, see Report a Problem with a Task in Agentforce Operations.
