Tasks in Agentforce Operations
Tasks are the individual units of work in a blueprint. Configure tasks to collect the right information, route work to the right people, and shape how each step behaves at run time.

How Tasks Work
When you build a blueprint, you create tasks that drive the work forward. Each task can request information from assignees, share context from upstream tasks, attach documents, set due dates, and route to specific people, teams, or AI agents.
When a workflow starts, each task activates based on its start condition. Either when its stage begins or when a prior task completes.
To learn more about how tasks relate to blueprints, workflows, and fields see How Blueprints, Workflows, and Tasks Connect in Agentforce Operations.
Task Types
Agentforce Operations supports different task types for different kinds of work. Each type serves a specific purpose in your workflow:
- Standard Task: The default task type. Use standard tasks to collect information, upload documents, or get confirmation from assignees. Standard tasks can request one or more fields and route work to people, teams, or AI agents. When you assign a standard task to an AI agent, the agent processes documents, analyzes data, or performs specialized operations automatically following a saved plan. See Create a Standard Task in Agentforce Operations and About AI Agents in Agentforce Operations.
- Approval Task: Require assignees to approve or reject before the workflow continues. Use approval tasks for decision points where you want someone to explicitly sign off. You can require comments on rejection and route rejected workflows down different paths. See Create an Approval Task in Agentforce Operations.
- Email Notification Task: Send an automated email to notify stakeholders or provide updates. Email notification tasks don't require assignee action and complete automatically after sending. Use them to keep people informed without adding work to their task list. See Send an Email from a Task in Agentforce Operations.
- Integration Task: Connect the workflow to external applications that you configured in your workspace, such as data sources for external lookups or communication platforms for notifications. Integration tasks extend what your workflows can do by using systems outside of Agentforce Operations.
When a Task Becomes Active
- The assignee receives an email notification with the task details and buttons to complete it.
- The task shows in the assignee's tasks list on the Tasks page in Agentforce Operations.
- The task's due date countdown begins.
- If an AI agent is the assignee, it starts working on the task automatically.
Task assignment grants task-level access only. If an assignee needs to view the full workflow, grant them workflow-level access from the Access tab.
While a Task Is in Progress
- Assignees can complete the task in the workspace or from the task email.
- Cc'd users can view and comment on the task but they can't complete it.
- If the task has an escalation, Agentforce Operations notifies the additional people as the due date approaches or passes.
When a Task Is Completed
- Agentforce Operations marks the task as complete and locks it from further editing.
- Any information collected in the task's requested fields is available to share with downstream tasks.
- The next task in the workflow gets triggered automatically.

When a Task Becomes Overdue or Has a Problem
- If a task becomes overdue, the associated workflow's status changes to Overdue in the workflows list view on the Home page.
- If a task has a problem, resolve the problem so the workflow can proceed. The associated workflow's status changes to Problem in the workflows list view on the Home page.
Split Tasks
Split tasks distribute work across multiple assignees in parallel. When a task splits, each assignee receives their own copy of the task and completes it independently. The workflow waits for all assignees to finish before continuing to the next task.
Use split tasks when you want the same work completed by several people at the same time. For example, when gathering input from regional managers or collecting feedback from multiple reviewers. Each assignee sees only their own task and submitted values. To learn more, see Split a Task into Duplicate Tasks in Agentforce Operations.
Task Expiration
Set an expiration time to automatically skip tasks that aren't completed by a deadline. When a task expires, the workflow continues to the next task without waiting for the assignee to complete it. Use expiration for optional tasks or time-sensitive steps where it's better to move forward than to wait indefinitely.
Task expiration works separately from escalations. An escalation notifies people when a deadline approaches, while expiration automatically completes the task. You can use both together. To learn more, see the Task Expiration section in Create a Standard Task in Agentforce Operations.
Escalations
Escalations notify additional people when a task is at risk of missing its due date. Configure escalations to send notifications before, on, or after the due date. You can notify the assignee's manager, specific users, or the task owner.
Use escalations to prevent tasks from stalling and to give managers visibility into overdue work. Escalations don't reassign the task or change who can complete it. They only send notifications. For tasks that require action from someone else, use fallback assignees or manual reassignment instead. To learn more, see Send Reminders and Escalate Tasks in Agentforce Operations.
More About Tasks
Learn about the different task types, when to use them, and how to create each one. To learn more, see Task Types in Agentforce Operations.
Determine who should complete each task. You can assign tasks to individual users, teams, roles, or AI agents. To learn more, see Task Assignee Types in Agentforce Operations.
Configure a task to save submitted data as a PDF for audit trails or records that need to be preserved outside the system. To learn more, see Save Task Data as a PDF in Agentforce Operations.
