Build a Form to Request Information in Agentforce Operations

Build a Form to Request Information in Agentforce Operations

Build a form inline in a task’s Request information section to collect structured information from task assignees in Agentforce Operations.

          Required Editions

          License Required

This feature is a workspace that’s external to your Salesforce org and requires an Agentforce Operations license.

To purchase an Agentforce Operations license, contact your Salesforce account executive.

          Role or Access Needed
To create a blueprint from scratch, using AI, or by importing a .rex file in Agentforce Operations: Admin role or Creator role

To create a blueprint by importing a .docx file in Agentforce Operations:

          Admin role
To publish a blueprint in Agentforce Operations: Admin role or Publisher role with View access for the blueprint
To edit a blueprint in Agentforce Operations: Admin role, Creator role, or a user with Edit access for the blueprint

Build forms inline in the Request information section of standard and approval tasks. Use forms to organize related fields into a structured layout with sections, instructional text, 2-column layouts, and fields. All form data must exist inside sections.

Agentforce Operations attaches the form to the task and shows it to assignees when they complete the task. Each task has its own form, and edits to a task's form affect only that task.

For best performance, keep your form under 400 items. Exceeding this recommended limit can cause performance issues when loading the form and evaluating smart rules.

To duplicate a form, duplicate the task that contains it. The duplicated task includes a copy of the form.

          Note
Note You can preview your form by clicking the Preview button in the task.

Complete these steps to build a form.

          Create a Task

Create a task to add a form to.

          1. Create a blueprint or edit an existing blueprint.
          2. In the blueprint, click + Task or + Approval.
          3. Navigate to the Request information section.
          4. Click + Add section.
Adding this first section is required to start building a form because all form data must be in a section.
          5. Name the section.
The name shows as the section header to the task assignee at run time.
          6. Optionally, click + Add description to add design-time notes about the section.
The description is for design-time reference only and task assignees can't see it at run time.

          Add Sections

Add sections to organize form content into logical groups, making it easier for assignees to understand what information to provide.

Sections group related fields together and provide structure to your form. Use sections to break long forms into manageable parts, such as Contact Information, Project Details, or Approval Requirements.

          1. Add a section.
            • Click + Add section.
            • In an existing section, click + Add, then select Section.
Both options add a new section after the current section.
          2. Enter a name for the section.
          3. Optionally, click + Add description to add design-time notes about the section.
The description is for design-time reference only and task assignees can't see it at run time.
          4. Optionally, to conditionally show or hide the section, configure smart rules.
            1. Point to the section and click the gear icon.
            2. In the Smart rules section, configure the rules.
          5. To add more sections, repeat the process.
          6. Drag sections to reorder them.

          Add Instruction Text

Add instruction text to guide assignees on what information to provide or how to complete part of the form.

Use instruction text to explain the purpose of a section, clarify what data to enter, or provide examples. Instruction text makes forms easier to complete and reduces errors.

          1. In a section, click + Add.
          2. Select Instruction text.
          3. Enter the text to guide the task assignee.
          4. Optionally, configure smart rules to conditionally show or hide the instruction text.
            1. Point to the instruction text and click the gear icon.
            2. In the Smart rules section, configure the rules.
          5. Drag the instruction text to reorder it within the section.

          Add 2-Column Layouts

Add 2-column layouts to show related fields side by side and save vertical space.

Use 2-column layouts when you have short, related fields, such as First Name and Last Name, or City and State. 2-column layouts make forms more compact and easier to scan.

          1. In a section, click + Add.
          2. Select 2-column layout.
          3. Add fields to each column by clicking + Add field in the column.
Add any fields except Document, Signature, and Data Source type fields. You can't add instruction text to columns.
          4. Drag the 2-column layout to reorder it within the section.

          Add Fields

Add fields to sections to collect specific data from assignees.

Fields are the primary way to collect data in forms. Add existing fields from your workspace, or create fields directly from the form builder.

          1. In a section, click + Add.
          2. In the Fields section of the list, select the field to add.
Optionally, create fields directly from the form builder by scrolling to the end of the list and clicking + Add field. Learn more in Create Custom Fields in Agentforce Operations.
          3. Optionally, configure the field.
            1. Point to the field and click the gear icon.
            2. To make the field always required, in the Behavior section, select Required.
            3. To make the field read-only and auto-fill it with a value from another field earlier in the workflow, in the Behavior section, select Auto-fill with data then select the source field.
You can't auto-fill Data Source fields in a form.
            4. To conditionally show, hide, or require the field, in the Smart rules section, add and configure smart rules.
          4. Optionally, duplicate a field by clicking the duplicate icon.
The duplicate option is available only to people with Admin or Creator roles. By clicking the duplicate icon, you create a field with the same settings. However, you must provide a unique name.
          5. Drag fields to reorder them within a section.

          Save and Preview the Task

Save the task and see how it looks to task assignees at run time. Then add the task to the blueprint.

          1. Click Save and preview.
A preview page opens with your form.
          2. Test your form to make sure that it looks and behaves as you expected.
          3. Close the preview page.
          4. Complete the rest of the task fields.
          5. Save the task by clicking Add.
