| Role or Access Needed | |
|---|---|
| To manage user data in Agentforce Operations: | Admin role or People Admin role |
Before you begin, make sure that you have:
- An Agentforce Operations license. See Entitlements and Limits for Agentforce Operations.
- The welcome email with your workspace URL and access instructions.
- Assigned the Admin role to a user in your workspace.
- A list of users who need access to the workspace.
- Documentation or a description of the business process that you want to automate.
When you purchase Agentforce Operations, Salesforce provisions a dedicated workspace for your business. The workspace is a standalone environment, external to your Salesforce org, where your team manages blueprints, runs workflows, and tracks automated processes. When the workspace is ready, you receive a welcome email to login for the first time.
Follow these steps to get your workspace ready for your team.
-
Configure your workspace settings.
Set up branding, business hours, and workspace-wide settings, such as due date behavior and task information order. For details, see Configure Your Workspace Settings in Agentforce Operations.
-
Add users and teams.
Invite the people who work in your workflows and assign them roles. Review the available system roles before inviting anyone so you can assign the right access levels. For details, see Managing Users in Agentforce Operations and User Roles and Access Levels in Agentforce Operations.
-
Optionally, create fields before building blueprints.
Fields collect data from task assignees and pass it forward through the workflow. Creating fields on the Fields page before you build blueprints makes them available to add to any task. You can also create fields directly from within a task while building a blueprint, but workspace-level fields are reusable across blueprints. So, creating them first saves time. For details, see Create Custom Fields in Agentforce Operations and Collect Information from Users in Agentforce Operations.
-
Optionally, connect data sources.
With data sources, task assignees select values from an external list, such as a product catalog, supplier database, or any structured data your organization maintains. Set up data sources on the Admin page before building blueprints that reference them. For details, see Data Sources in Agentforce Operations.
-
Build a blueprint.
A blueprint is a reusable template that defines your process. Add stages to structure the work into phases. Then, add tasks within each stage and assign them to users, teams, roles, or AI agents. Finally, add fields to collect and pass information between tasks. Configure start conditions to control when stages and tasks activate. When the blueprint is ready, publish it. For details, see Create an Automation Template with a Blueprint in Agentforce Operations.
-
Optionally, if you plan to assign tasks to AI agents, set up and test your agent
tasks.
AI agents complete specialized tasks automatically with consistent, repeatable results. Before publishing a blueprint that includes AI agent tasks, make sure each agent task has a saved plan. Use the Test tab to run the agent with representative inputs, review the generated plan, and save it. For details, see Assigning Tasks to AI Agents in Agentforce Operations and Get AI Agent Tasks Ready for Run Time in Agentforce Operations.
-
Start a workflow.
After you publish your blueprint, create a workflow from it to start automating your process. Fill in any required fields, then click Create. The workflow starts immediately and task assignees receive email notifications. You can start workflows from the Home page, the Blueprints page, or from within an open blueprint. For details, see Creating and Starting a Workflow in Agentforce Operations.
