Exclude Emails, Events, and Video Calls From Capture

Exclude Emails, Events, and Video Calls From Capture

Set up org-wide exclusions to control what gets captured, synced, and recorded by Momentum. Excluded data isn’t added to the activity timeline of related Salesforce records, and excluded events don’t sync between Salesforce and the connected calendar account. Adding exclusions doesn’t remove previously stored data. Exclusions only filter incoming data after you save an exclusion value to your settings. Exclusions apply to all Momentum configurations and users. Users can add more addresses to their own excluded addresses lists in their personal settings.

Review the org-wide excluded addresses list immediately after setting up Momentum. By default, the domain associated with the email address of the Salesforce admin who created the first Momentum configuration is excluded. If you have customers, prospects, or contacts who use the same domain as your company, their emails and events are blocked. Verify the list to confirm that customer communications aren't filtered out.

You can’t modify an exclusion. To change or update an exclusion, delete it and create a new exclusion.

Manage data privacy and exclusion settings in Salesforce Go.

  1. From the gear icon, select Salesforce Go, and then search for Momentum on the Salesforce Go Home page.
  2. In Unlock Advanced Functionality, under Manage Data Privacy & Exclusion, click Manage.
  3. Use the tabs to go to each section.
  4. Add entries.
  5. Save changes for each tab separately before closing the window.

Exclude Events, Emails, and Videos Based on Email Address and Domain

Calendar events, email messages, and calls aren’t captured, synced, or saved if a participant is associated with an excluded domain or address.

Domain exclusions support wildcard rules. For example, enter *.domain.com to exclude all subdomains, such as support.domain.com and multilevel subdomains (more.support.domain.com). This example would not, however, filter out the primary domain (domain.com). Enter the primary domain as a unique entry.

Exclude Private Events

When you turn on Sync Private Events, events on individual calendars set to private sync to Salesforce the same way other events do. The data is available everywhere event data appears and is visible following your org-wide defaults.

Syncing private events is controlled by two settings: one in each configuration and one in Momentum Advanced Functionality. You can manage this setting for each configuration. However, anytime you change the advanced functionality setting, it overrides the configuration setting. For example, if you have two configurations (Config1 and Config2) and first turn on Sync Private Events in the advanced settings and then later turn off sync private events in Config1, the configurations behave differently. Config1 doesn’t sync private events, but Config2 does. Later, if you turn off Sync Private Events in the advanced setting, it turns off private event sync for all configurations. Now, both Config1 and Config2 don’t sync private events.

Exclude Emails Based on Keywords and Sensitive Content

Add keywords to exclude specific emails from capture. Use automatic sensitive content filtering to detect and exclude specific email messages. Basic sensitive content exclusion is on by default and uses pattern matching to detect content.

Keyword exclusion supports single words, phrases, or regular expressions. In regular expressions, use a double backslash (\\). An org value determines the limit of individual keywords and regular expressions allowed. To change your limits, contact Salesforce Customer Support.

Basic sensitive content detection excludes messages that contain credit card numbers, US social security and driver license numbers, and Canada social insurance numbers. Advanced detection excludes messages that contain personally identifying information; protected health information; authentication and password data; financial information including credit and debit cards, bank account and routing numbers, investments, payment details, and transactions; and other confidential information such as legal matters.
