Set Up Asset Scheduling for Workforce Scheduling

Schedule assets such as meeting rooms, dialysis chairs, or other equipment alongside service resources. To schedule an asset, add it as a service resource with the Resource Type set to Asset, and then make it available for scheduling and interaction attendance.

Workforce Scheduling treats an asset as a service resource. The same service resource record powers scheduling for service appointments and interaction attendance, so a single setup unlocks both flows.

Provide User Profile Access to the Asset Field

Grant field-level access to the Asset field on the service resource object so users can create and manage asset service resources.

  1. From Setup, open Object Manager.
  2. Select Service Resource.
  3. Select Fields & Relationships.
  4. Select Asset.
  5. Click Set Field-Level Security.
  6. Select the Visible checkbox for every profile that creates or manages asset resources, including the System Admin profile.
  7. Save your changes.

Update the Service Resource Page Layout for Asset Scheduling

Add the Asset field to the service resource page layout so users can view and edit the asset reference on each asset resource.

  1. From Setup, open Object Manager.
  2. Select Service Resource, and then select Page Layouts.
  3. Select Service Resource Layout.
  4. From the palette, drag the Asset field into the Service Resource Detail section.
  5. Save your changes.

Update the Default Asset Sharing Setting (Optional)

By default, assets inherit sharing from a parent account or contact. If your assets don't always have a parent, change the default sharing setting so that assets without a parent are still accessible.

  1. From Setup, in the Quick Find box, enter Sharing Settings, and then select Sharing Settings.
  2. Under Organization-Wide Defaults, click Edit.
  3. For Asset, change Default Internal Access from Controlled by Parent to Public Read Only, Public Read/Write, or Private, depending on your requirements.
  4. Save your changes.

Create Assets

Create asset records, such as meeting rooms or equipment, before you make them schedulable.

  1. From the App Launcher, find and select Assets.
  2. On the Assets tab, click New.
  3. Enter an asset name and other details as required.
    Note
    Note You must select an account, a contact, or both.
  4. Save your changes.

Make Assets Available for Scheduling

Add each asset as a service resource with Resource Type set to Asset so that the scheduling engine considers the asset for service appointments and interaction attendance.

  1. On the Service Resources tab, click New.
  2. In the Resource Type picklist, select Asset.
  3. In the Asset lookup field, select an asset.
  4. Select Active.
  5. Save your changes.
  6. Set up skill assignments and service territory memberships for the asset.
    Note
    Note Before you can delete an asset, deactivate the service resource associated with it.

View Maximum Schedulable Assets

Each active asset service resource counts against the schedulable asset limit for your org. View your asset limits and usage counts in the Usage based entitlements report.

  1. From Setup, enter Company Profile and select Company Information.
  2. In Usage based entitlements, under the Resource column, find the entry for the maximum schedulable assets in Workforce Scheduling. The usage count is updated weekly.
