          Perform critical lifecycle transitions on a large group of hardware assets simultaneously to save time and maintain accurate inventory records.

          Hardware Asset Management batch processing automates updates for reclaiming, refreshing, and disposing of assets, reducing manual effort and potential errors.

          Batch Management Framework

          Bulk actions use the Salesforce Batch Management framework. This framework supports dynamic processing, so you can filter and pass specific asset IDs into a batch job rather than relying on static criteria. Because these processes run asynchronously in the background, they continue working while the system handles high-volume updates.

          Methods for Initiating Bulk Actions

          Depending on the volume of records, initiate bulk transitions by using two methods:

          • Filter-Based Selection: From the Assets list view, use standard filters to identify a group of assets, such as all laptops in a specific office. Select up to 200 records directly from the list view to trigger a bulk action.
          • CSV File Upload: To process massive volumes, upload a CSV file containing up to 10,000 asset record IDs. The framework fetches the file and passes the IDs into the batch job for processing.

          Supported Lifecycle Transitions

          Bulk actions support three primary use cases:

          • Return Assets: Initiate the return process for assigned assets. The system triggers return emails and Slack notifications to assigned employees.
          • Return Aging Assets: Start the return process for aging hardware. The system updates the asset status to Pending Return and notifies users.
          • Dispose Assets: Add retired or in-stock assets to a new or existing disposal order. This action transitions the asset status to Pending Disposal.

          Automated Notifications and Employee Intake

          When an asset manager triggers a batch process to refresh or reclaim assets, assigned owners receive automated emails and Slack notifications. These notifications include a link to the IT Hardware Asset Management self-service portal. From the portal, employees complete an intake flow to acknowledge the request and schedule return logistics. This process generates the necessary return orders for the inventory team. For asset disposals, the batch process assigns assets to a disposal order and generates the disposal order line items. Asset owners receive no emails or portal links for disposals. Instead, the system sends a Slack notification about the batch job status to the asset admin who initiated the process.

          Auditing and Traceability

          To maintain a complete chain of custody, the Asset Timeline logs every bulk action transition. This creates an audit trail that records:

          • Date and time of the transition.
          • User or automated process that initiated the change.
          • Specific field changes, such as status updates from Assigned to Pending Reclaim.
          • Links to related records, such as the Disposal Order or Service Request.

          These records support organizational compliance and provide a complete view of an asset's history from procurement to final disposal.
